Roles & Responsibilities

  • 2 to 3 years of experience in a call center or processing role within the mutual fund industry
  • Completion of the IFIC Operations course is an asset
  • Advanced proficiency in English and French
  • Strong analytical and organizational skills with the ability to solve problems, multitask, and adapt quickly to change

Requirements:

  • Answer incoming calls efficiently and professionally with active listening to provide accurate responses
  • Provide technical support for tools (testing, troubleshooting, problem solving) and respond to emails quickly and accurately
  • Log calls and emails in JIRA and follow up on pending requests to ensure timely resolution; proactively escalate unresolved issues to the supervisor
  • Participate in daily management meetings focused on process improvement and be available to work a rotating schedule (core hours 8:00 a.m. to 7:00 p.m.)

What you’ll accomplish with us

As an Advisor Services Specialist, you’ll be at the core of our mission. Here are the main responsibilities:

  • Answer incoming calls efficiently and professionally; active listening is essential

  • Provide accurate and detailed responses to phone inquiries

  • Provide technical support for tools (testing, troubleshooting, problem solving)

  • Respond to emails quickly and professionally, providing accurate information

  • Follow up on pending requests to ensure they are addressed within required timelines

  • Proactively escalate unresolved issues to the supervisor

  • Ensure every interaction is memorable by applying the STAR qualities (Seamless, Trustworthy, Attentive, and Resourceful)

  • Log calls and emails in JIRA (internal tracking and messaging system)

  • Actively participate in daily management meetings focused on process improvement

  • Be accountable for learning new processes and procedures

  • Be available to work a rotating schedule (core hours are 8:00 a.m. to 7:00 p.m.)

  • Handle difficult calls and manage expectations effectively using tools provided during training (e.g., Stellar Service)

  • Has an advanced level of proficiency in English and in French, as the role requires responding to calls and emails, providing support to advisors, and presenting service‑related information to advisors and internal partners on a daily basis
