Requirements:

  • Coordinate activities on multiple new equipment installation projects to ensure efficiency, customer satisfaction, and achievement of financial milestones; collaborate with internal sales staff, construction superintendents, external customers, and senior leadership.
  • Manage certified payroll, lien waivers, and third-party payment systems; process CBIS requirements, SOV submissions, AIA paperwork, and NE/MOD billing.
  • Process pre-qualification, W-9s, licensing for new customers, and manage pre-liens and mechanic liens; assist with opening Large POs and adding new vendors.
  • Ensure timely upfront billing and collections, generate reporting on KPI targets (cash coverage, CIP), and maintain data entry, file management, and documentation.

Otis Elevator Company is searching for a highly motivated New Equipment Coordinator to oversee coordination of activities on multiple new equipment installation projects. The New Equipment/Mod Coordinator will ensure efficiency and customer satisfaction. 

What you’ll do: 

  • Ability to work closely with the internal sales staff, construction superintendents, external customers, and senior leadership to ensure successful financial milestones and customer communication  
  • Upload certified payroll and manage OCIP/CCIP reporting on third party site. 
  • Perform construction administrative duties as outlined below to maximize project cash coverage  
  • Manage certified payroll, lien waivers, and all New Equipment third party payment systems / customer special billing forms   
  • Process Contract Billing Information (CBIS) requirements and SOV submissions, AIA paperwork   
  • New Equipment/Modernization billing in JDE and all third-party payment systems / customer special billing forms 
  • Process lien waivers 
  • Compile and issue all closeout documentation to internal customers 
  • Submit NE/MOD Pre-Qualification 
  • Submit W-9 and licensing for new customers 
  • Manage Pre-Liens and mechanic liens 
  • Assist with adding New Vendors/Supplier 
  • Assist with opening Large POs 
  • Update CMD Task list 
  • NE/MOD Permits – Compile, prepare and submit all necessary documents and information required for permits. 
  • Certification of Insurance (COI) processing  
  • NIS generation and processing for GBO   
  • Timely upfront billing of projects and consistent collections follow up throughout the project  
  • NE collections, attend collection calls with sales reps and provide reporting as required  
  • KPI 100% cash coverage  
  • KPI 125% CIP  
  • Handling administrative tasks such as data entry, file management, document preparation and other assigned tasks as required

  • Preferred candidate is fully bilingual in French and English

Education / Certifications: 

High school diploma required. AA/AS degree preferred.

The salary range for this role is $70,000-$75,000.  Pay within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
