As the Executive Assistant, youβll act as a force multiplier for the CTO β ensuring their time is optimized, priorities are clear, and nothing falls through the cracks.
This is a high-responsibility role where youβll manage both professional and personal operations, make prioritization decisions, and operate with a high level of trust and autonomy.
Own and manage the CTOβs calendar and inbox, including drafting responses and making prioritization decisions
Coordinate meetings across multiple time zones, resolving conflicts proactively
Plan and execute complex travel arrangements (multi-location, multi-person)
Track tasks, follow-ups, and priorities across conversations and tools
Handle personal logistics such as appointments, errands, and scheduling
Conduct research on tools, vendors, and services when needed
Maintain organization across tools like Notion, Slack, and Google Workspace
Suggest and implement improvements to systems, workflows, and processes
3+ years supporting C-level executives or founders in fast-paced environments
Proven experience managing inbox, calendar, and scheduling independently
Strong executive judgment and ability to make decisions without constant check-ins
Exceptional organization and attention to detail
Experience coordinating complex travel and logistics
Strong written and spoken English communication
High level of discretion, professionalism, and reliability
Comfort with tools like Notion (strongly preferred), Google Calendar, Slack
Ability to work with Pacific Time overlap
