Roles & Responsibilities

  • Experience as a healthcare virtual assistant or medical office administrator responsible for patient intake, registration, and scheduling.
  • Knowledge of HIPAA regulations and experience maintaining accurate patient records in Electronic Health Records (EHR) and practice management systems.
  • Experience with insurance verification, prior authorization/referral processes, and basic medical billing documentation.
  • Excellent written and verbal communication skills with the ability to interact professionally via phone, email, and virtual platforms; strong attention to detail and coordination abilities.

Requirements:

  • Greet patients and caregivers via phone, email, and virtual platforms; collect accurate demographic information, medical history, and contact details; enter data into Electronic Health Records (EHR) and practice management systems; verify patient identity and maintain HIPAA-compliant records.
  • Verify insurance coverage and eligibility for services prior to appointments; obtain pre-authorizations and referrals as required; communicate patient financial responsibilities and ensure accurate billing documentation.
  • Schedule patient appointments based on provider availability; send reminders via phone, email, or SMS; manage rescheduling, cancellations, waitlists, and optimize provider schedules.
  • Coordinate with clinical staff and insurance companies to resolve coverage questions and discrepancies; ensure smooth patient flow and minimize wait times.

Job description

Patient Registration & Intake

  • Greet patients and caregivers professionally via phone, email, and virtual platforms
  • Collect accurate patient demographic information, medical history, and contact details Prepare and process patient admission and discharge documentation
  • Enter patient information into Electronic Health Records (EHR) and practice management systems
  • Maintain accurate and complete patient records in compliance with HIPAA regulations
  • Verify patient identity and update existing patient profiles as needed

Insurance Verification & Authorization

  • Verify insurance coverage and eligibility for services prior to appointments
  • Obtain pre-authorizations and referrals as required by insurance plans
  • Communicate patient financial responsibilities including copays, deductibles, and coinsurance
  • Process insurance information and ensure accurate billing documentation
  • Coordinate with insurance companies to resolve coverage questions and discrepancies
  • Stay updated on various insurance plans, policies, and procedures

Appointment Scheduling & Coordination

  • Schedule patient appointments based on provider availability and patient needs
  • Send appointment reminders and confirmations via phone, email, or SMS
  • Reschedule and cancel appointments as requested while maintaining optimal provider schedules
  • Coordinate with clinical staff to ensure smooth patient flow and minimize wait times
  • Manage appointment waitlists and fill cancellations efficiently

Pay: Php20,000.00 - Php35,000.00 per month
