About the Role
As the Executive Assistant - Finance & Property Management Support you will act as a strategic partner to the Managing Director of Property Management and the broader leadership team, ensuring seamless executive operations while driving structured and scalable finance administration processes. This role blends high-level executive support with hands-on financial reporting, requiring both organisational excellence and analytical capability.
You will be responsible for streamlining workflows, managing priorities, and systemising recurring financial and administrative processes to improve efficiency across the business. Key Responsibilities
Executive Support:
- Manage complex calendars, scheduling, and travel arrangements for the Managing Director and leadership team.
- Prepare meeting materials, reports, and executive briefing packs.
- Draft, review, and manage professional correspondence, including emails and internal communications.
- Coordinate with accountants, advisors, and external stakeholders to ensure alignment and timely communication.
- Process expense claims and perform credit card reconciliations accurately and efficiently.
- Provide day-to-day executive and administrative support, ensuring priorities are managed effectively.
- Handle ad-hoc administrative tasks, including data entry and document preparation.
Finance Reporting & Administration:
- Develop, maintain, and improve recurring financial reports and KPI dashboards.
- Support month-end reporting processes and preparation of board reporting materials.
- Maintain and update revenue and expense tracking templates for accuracy and consistency.
- Assist in CRM management (e.g., HubSpot), ensuring data integrity and process efficiency.
- Identify opportunities to automate and streamline financial reporting workflows.
- Ensure financial data is organised, accessible, and aligned with business reporting requirements.
Process Improvement & Coordination:
- Build structured systems and processes to support scalability and operational efficiency.
- Continuously review workflows to identify inefficiencies and recommend improvements.
- Collaborate with internal teams to standardize reporting and administrative procedures.
- Support cross-functional coordination between finance, operations, and leadership.
Other Responsibilities
- Complete additional tasks and projects as assigned by leadership.
- Maintain confidentiality and professionalism in handling sensitive financial and executive information.
- Stay proactive in identifying opportunities to improve systems, reporting, and support processes.
- Contribute to a collaborative and high-performing remote team environment.
About You
- Strong experience as an Executive Assistant, with exposure to finance or accounting support.
- Advanced Excel skills with the ability to build reports, dashboards, and tracking tools.
- Highly organised, detail-oriented, and process-driven with strong problem-solving skills.
- Experience with tools such as HubSpot, Monday.com, or similar CRM/project management platforms is preferred.
- Excellent written and verbal communication skills.
- Ability to work independently, manage multiple priorities, and meet deadlines in a remote environment.
- Comfortable handling both strategic support and hands-on administrative tasks.
