About the Client:
Our client is a fast-growing DTC activewear brand focused on stylish, high-performance gym apparel for women. They design and sell products like leggings, shorts, sports bras, tops, and matching sets, known for flattering fits and “second-skin” comfort, combining performance with a strong fashion-forward aesthetic. With a strong eCommerce presence and frequent product launches, the company operates with overseas manufacturing and 3PL partners, offering a high-ownership, fast-paced environment with direct exposure to end-to-end operations.
About the Role:
The Operations Coordinator plays a key role in supporting production execution, owning logistics and warehouse coordination, and ensuring operational readiness for launches. Acting as a bridge between Production, Product, Logistics, and Marketing, this role keeps workflows organized, shipments on track, and inventory accurate, requiring strong organization, proactive communication, attention to detail, and a high level of ownership.
Key Responsibilities:
Production Coordination (supporting Production Manager)
- Create and upload SKUs accurately and on time
- Prepare and submit production documents, including POs, SKUs, and sample requests
- Request and track PSRs from all active vendors
- Maintain and update the TNA overview and individual order TNAs
- Create and maintain the WIP for Buying
- Document QC issues and order-related discrepancies
- Schedule and review third-party quality control inspections
- Review and approve bulk inspection reports
- Monitor PPS and TOP timelines and flag risks or delays
- Support resolution of EXF issues or production delays
- Partner with Product to request PPS and TOP samples as needed
- Monitor sample timelines to ensure on-time receipt and review
- Coordinate media sample requests and shipments
Logistics (Primary Owner):
- Coordinate shipments with designated freight forwarders from factory to warehouse
- Review and upload packing lists and shipping documentation
- Monitor inbound shipments and proactively track ETAs
- Investigate and resolve shipment delays
- Communicate inbound shipment updates to internal teams
- Ensure timely and accurate warehouse receiving and inventory synchronization
Warehouse Management (Primary Owner):
- Serve as the primary point of contact for the 3PL
- Manage and respond to warehouse communication
- Monitor inbound receiving accuracy and inventory integrity
- Review weekly invoices and flag discrepancies
- Resolve warehouse-related issues in a timely manner
- Complete monthly inventory audits
- Monitor monthly warehouse KPIs with the support of the CX team
Launch Support:
- Collaborate with Marketing to align on collection and core launch dates
- Execute operational launch tasks, including product activation and manual inventory uploads as needed
- Track collection launch sales and performance metrics
Requirements
- 2–5 years experience in operations, production, logistics, or supply chain.
- Apparel, fashion, or consumer goods experience required.
- Experience working with overseas vendors or international freight strongly preferred.
- Exceptional organizational and time-management skills.
- Growth mindset.
- Excellent communication and collaboration abilities.
- Fast learner, can solve problems independently.
- Fluent in English, advanced written communication skills.
- Comfortable navigating and editing spreadsheets, as well as web apps like Slack and Notion.
