Position Summary
The Project Administrator provides critical administrative and operational support to ensure the successful delivery of project objectives across the full project lifecycle. This role is responsible for maintaining comprehensive project documentation, coordinating communications across internal and external teams, and ensuring all project tracking activities remain accurate, current, and accessible to the appropriate stakeholders.
A primary focus of this position is supporting the maintenance and ongoing management of detailed project plans. This includes updating tasks, timelines, dependencies, and milestones as the project progresses, and ensuring the plan remains aligned with the latest inputs from our team and client stakeholders. Consistent and accurate tracking is essential for maintaining visibility, identifying risks early, and keeping all stakeholders informed.
Key Responsibilities
Project Plan Maintenance & Tracking
- Maintain and update the integrated project plan including tasks, timelines, dependencies, and milestones on a continuous basis
- Ensure all project plan updates accurately reflect the latest inputs from internal team members and client stakeholders in a timely manner
- Conduct regular schedule reviews to verify accuracy, flag discrepancies, and communicate plan changes to relevant team members
- Track milestone completion and report on progress against established baselines
- Maintain version control of project plans and ensure all team members are working from the most current documentation
Risk & Issue Management
- Monitor project activities to identify potential risks, blockers, and dependencies that may impact deliverables or timelines
- Maintain the risk register, issue log, and action item tracker; escalate critical items to the Project or Program Manager as appropriate
- Support early identification of scheduling conflicts and resource constraints through regular analysis of project plan data
- Assist in developing and tracking corrective action plans in response to identified risks or issues
Stakeholder Communication & Reporting
- Prepare and distribute regular status reports, dashboards, and project updates to maintain stakeholder awareness
- Coordinate internal and external meetings including scheduling, agenda preparation, minutes documentation, and action item follow-up
- Serve as a reliable point of contact for project documentation requests and ensure materials are accessible to authorized team members
- Facilitate consistent, clear communication between the project team and all relevant client or partner stakeholders
Administrative & Documentation Support
- Organize and maintain all project documentation including plans, reports, meeting notes, deliverables, and correspondence
- Support the onboarding of new project team members by providing orientation to project tools, processes, and documentation standards
- Assist in the preparation of project presentations, briefings, and deliverable packages for internal and client review
- Manage shared project repositories and collaboration platforms to ensure content is current, well-organized, and properly governed
- Support contract and procurement administration activities as needed, including tracking deliverable schedules and obligations
Required Qualifications
- Bachelor's degree in Business Administration, Project Management, Information Technology, or a related field
- 2+ years of experience in a project coordination or administrative support role on professional services or technology programs
- Demonstrated experience maintaining and updating project schedules using tools such as Microsoft Project, Smartsheet, or equivalent
- Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms such as SharePoint or Microsoft Teams
- Excellent written and verbal communication skills, with the ability to tailor messaging to diverse audiences at all levels
- Demonstrated ability to work effectively in a team environment and independently with minimal supervision
