Position Overview:
The Project Coordinator supports Project Managers and cross-functional teams in the successful delivery of software initiatives. This role is responsible for project organization, tracking, documentation, and communication, ensuring that work stays aligned to scope, schedule, and process.
In a fast-paced software environment, the Project Coordinator plays a critical role in keeping projects running smoothly by maintaining project artifacts, monitoring risks and issues, coordinating meetings, and ensuring accurate, timely information flows between internal teams and customers.
This role is ideal for someone early in their project management career who is highly organized, detail-oriented, and eager to grow within a technology-driven organization.

Responsibilities:
Project Coordination & Tracking
Maintain and update project schedules, task lists, and milestones in project management tools
Track and update RAID logs (Risks, Actions, Issues, Decisions)
Monitor progress against plan and flag risks, dependencies, and delays to the Project Manager
Support tracking of change requests, scope updates, and project decisions
Documentation & Reporting
Maintain accurate, up-to-date project documentation and artifacts in designated repositories
Prepare weekly project status reports and dashboards for internal and customer stakeholders
Capture meeting notes, action items, and decisions; follow up to ensure closure
Ensure project records follow established standards and frameworks
Meeting & Communication Support
Coordinate and support internal and external project meetings
Prepare agendas, materials, and presentations for project forums
Distribute meeting minutes and action items in a timely manner
Serve as a communication bridge between Project Managers, delivery teams, and stakeholders
Administrative & Operational Support
Track team time, allocations, and PTO as needed for project planning
Support budget tracking and basic financial reporting
Monitor tickets, defects, and issues in systems such as Jira or ServiceNow
Assist with SharePoint or project site setup and ongoing maintenance
Process & Continuous Improvement
Ensure projects adhere to defined delivery methodologies and governance standards
Identify opportunities to improve project coordination, reporting, and execution efficiency
Support audits, readiness reviews, and operational checkpoints as required
What you bring:
Required
1–3 years of experience in project coordination, operations, or a related role
Strong organizational skills with exceptional attention to detail
Ability to manage multiple tasks and priorities in a deadline-driven environment
Clear written and verbal communication skills
Comfort working with cross-functional teams in a software or technology setting
Preferred
Experience in a SaaS, software, or professional services organization
Familiarity with project and collaboration tools such as Smartsheet, Jira, Salesforce, SharePoint, or similar
Exposure to Agile or hybrid delivery environments
Bachelor’s degree or equivalent professional experience
CAPM from PMI or equivalent certification

**The annual US base salary range for this position is $60,000 to $65,000. This salary range may cover multiple career levels at HealthEdge. Final compensation will be determined during the interview process and is based on a combination of factors including, but not limited to, your skills, experience, qualifications and education.
