About the Role

We are seeking a Client Service Associate to support a growing independent financial advisory practice. This role is a unique blend of client service, administrative support, and executive assistance. You will be responsible for ensuring clients receive exceptional service, managing the team’s schedule, and key operational tasks. As the firm continues to grow, this role has the potential to expand in scope and responsibility for the right candidate.


Location:

This is a hybrid role in St. Petersburg. Client and team meetings will be in person as often as possible, with virtual options as a supplement. Local errands and tasks will also be required as needed.

Key Responsibilities

Client Service & Operations

  • Serve as a primary point of contact for clients, ensuring timely and professional communication.
  • Manage client follow-ups, paperwork, and account-related servicing.
  • Maintain accurate and compliant client records and documentation.
  • Coordinate scheduling and preparation for client meetings.
  • Develop and refine processes and workflows, identifying opportunities for efficiency and automation.
  • Support ongoing improvement of firm-wide operations. 

Executive and Firm Support

  • Manage the team calendars, inbox coordination, appointments, and travel arrangements.
  • Prepare correspondence and documentation.
  • Coordinating professional and firm-related commitments.
  • Support charitable and community initiatives.
  • Act as a trusted operational partner within a growing advisory practice. 
Requirements

  • Prioritize and manage workflow to ensure quality and efficiency; be flexible in adjusting to changing work priorities.
  • Deliver high quality client service in a professional, caring, and compliant manner.
  • Communicate effectively with clients, prospects, and others in the organization.
  • Build strong relationships and work with diverse personalities.

 Ideal Candidate Profile

  • 5+ years of experience in a similar role.
  • Strong organizational and people skills, with a client-first mindset.
  • Experience in an entrepreneurial environment strongly preferred.
  • Proactive, detail-oriented, and comfortable working independently while also being a team player.
  • Financial industry experience required.
  • Tech-savvy, with proficiency in Microsoft Office, Copilot, Planner, and Power Automate. 
  • Prior experience with Salesforce and Calendly strongly preferred.

Salary:

The range for this role is $55,000 to $70,000 and will be based on required and preferred experience.
