We're looking for an Executive Assistant to support the founder of a privately held manufacturing business. The work is straightforward: phones, calendar, scheduling, and day-to-day administrative tasks handled reliably and without needing to be chased.
The business is stable, focused, and not trying to be something it is not. If you are looking for a straightforward role where your job is to keep things organized and the founder's time protected, this is a strong fit.
Why You'll Want to Join
- You will be paid in USD (bi-monthly: every 15th and 30th)
- Up to 14 days of Paid Time Off annually (starting Day 1)
- Observance of Holidays per company guidelines
- 100% remote setup so you can work wherever you're most productive
- Direct working relationship with the founder from day one
- Stable, long-term role with room to grow as trust is established
What You'll Work On
Phone and Communication Management
- Answer and manage inbound calls on behalf of the founder
- Screen, triage, and route calls and messages appropriately
- Draft and send routine correspondence as directed
- Follow up on open items and ensure nothing falls through the cracks
Calendar and Schedule Management
- Own the founder's calendar and keep it clean, accurate, and current
- Schedule and confirm meetings, calls, and appointments
- Coordinate with external contacts to align availability
- Anticipate scheduling conflicts and resolve them proactively
Administrative Support
- Handle day-to-day administrative tasks including data entry, document management, and file organization
- Manage basic record keeping and maintain organized systems for contacts, documents, and recurring tasks
- Support ad hoc requests as they arise and close loops without being reminded
- Help build simple processes and routines that make operations run more smoothly over time
What You Bring
- Prior experience in an executive assistant, administrative assistant, or similar support role
- Reliable phone presence and strong verbal communication skills
- Excellent written communication with attention to detail
- High organizational skills and comfort managing a busy calendar
- Self-directed and proactive: you spot what needs handling and you handle it
- Trustworthy, discreet, and consistent in how you show up every day
- Comfortable working independently in a remote setup without daily check-ins
Nice to Have
- Experience supporting a founder, owner, or solo executive directly
- Background in manufacturing, trades, or operational businesses
- Familiarity with basic bookkeeping or vendor coordination
How to Apply
Please include:
- Your updated resume
- A short Loom video (1 to 2 minutes) introducing yourself and describing how you have managed a busy calendar or kept a demanding executive organized in a previous role
Only candidates who submit a Loom video will be moved to the next step of the hiring process.
If you are dependable, organized, and take pride in making someone else's day run smoothly, this role gives you a direct line to the founder and the chance to build something from the ground up.
