Roles & Responsibilities

  • Bachelor's degree in Communications, Marketing, Business or related field (or an equivalent combination of related education and experience)
  • 3-5 years of related marketing, conference/event planning and/or project management experience
  • Certification in meeting planning or project management is a plus
  • Proficiency with MS Office (especially advanced Excel) and familiarity with SAP, SFDC, Tableau; basic HTML is a plus

Requirements:

  • Project manage educational events from planning to execution, including request intake, IDEXX LMS setup, registration, marketing, and post-event reconciliation
  • Monitor attendee data, reconcile attendance, analyze metrics, and input information into event trackers; communicate results to internal partners
  • Partner with field, Medical Outreach, and cross-functional teams to support territory growth and educational strategy; manage third-party vendors and event venues
  • Create and maintain event documents and communications, coordinate invites and communications pre/post, and ensure best practices while training new team members as needed

Job description

In this role you will be responsible for project managing logistics for assigned CE (Continuing Education) seminar events, including request intake, building event in IDEXX learning management system, managing registration, marketing, and post event reconciliation. Post event responsibilities include; Monitor and reconcile customer attendance, analyze data, and input information into event trackers. Pro-actively communicate, partner, and collaborate cross functionally with the field and key stakeholders. Some travel is required to assist with management and execution of specific events; remote organization and communication is required for others.  Professionally represents IDEXX to external customers and event attendees at all times.

What you will do:

• Analyze metrics and communicate results to internal partners.

• Project manage educational events to ensure consistency and collaboration while following established guidelines, processes and tools.

• Partner with field to support territory growth and educational strategy.

• Partner with Medical Outreach team on scheduling and speaker management.

• Develop and coordinate documents related to events and communications.

• Primary point of contact for scheduled event participants and attendees, and other potential internal/external customers interested in attending or participating in the events.

• Ability to manage work flow in IDEXX learning management system.

• Create pertinent SOP documents, as assigned.

• Market event; manage invites, registration, fax blast, run event radius report.

• Responsible for communication to field around event details, including, pre-at-post.

• Effectively and consistently communicate and champion best practices and logistics to customers/stakeholders at all levels of management, gaining buy in from stakeholders, and educating others as needed.

• Collaborate with internal planning partners to confirm event venues and details

• Ability to manage third party vendors

 • Develop and continually learn, grow and strengthen individual capabilities, staying current with industry trends and best in class practice.

• Develop and improve understanding of organization's educational goals and target topics, and speakers to meet the business priorities.

• Train new team members, as needed.

• Perform other duties as assigned.

What you will need to succeed:

EDUCATION:

Bachelors Degree in Communications, Marketing, Business or related field; or an equivalent combination of related education and experience.

EXPERIENCE:

  • 3-5 years of related marketing, conference event planning and/or project management experience required.
  • Certification in meeting planning or project management a plus
  • IDEXX knowledge

• Ability to interact with multiple levels of management and various functional departments and externally with customers.

• Demonstrated initiative and drive with ability to work independently, collaboratively, and as part of a team. 

• Ability to understand basic financial concepts such as ROI and budget management.

• Proficiency in MS office applications–with advanced knowledge of spreadsheet and database software preferred.

• Understanding of SAP, SFDC, Tableu, and Business Intelligence.

• Basic knowledge of HTML a plus
