Requirements:

  • Act as the primary liaison between the organization and state reporting entities to support compliance and clear communication; participate in state EHDI calls and document attendance
  • Provide training, guidance, and ongoing support to staff involved in state data reporting processes; manage weekly data workflows including running filters, assigning pending records, merging patient files, adding missed infants, and processing transfers and refusals
  • Reconcile Soundata records with state databases (TEHDI) to ensure accuracy and complete reporting; monitor daily data submissions and validate accuracy; track outpatient rescreen appointment outcomes and maintain scorecard and certification tracking tools

Job description

Overview:

The State Data Specialist centralizes and manages all state reporting responsibilities for assigned state(s) within the Hearing Screen program. This role ensures data accuracy, strengthens state compliance, and directly influences program certification outcomes. The Specialist serves as the primary point of contact for state reporting agencies and supports internal teams through training, workflow oversight, and data reconciliation activities. 

This role requires strong independence, time management, and the ability to work with detailed data workflows. Must maintain confidentiality and comply with all data security and privacy requirements. This role requires participation in virtual meetings, training sessions, and team collaboration activities.

Responsibilities:

 

  • Respond to state requests (TEHDI) for information within 24–48 hours and verify data accuracy prior to submission.
  • Participate in state EHDI calls, maintain current knowledge of reporting requirements, and ensure site participation and documentation of attendance.
  • Act as the primary liaison between the organization and state reporting entities to support compliance and clear communication.
  • Provide training, guidance, and ongoing support to staff involved in state data reporting processes.
  • Manage weekly data workflows, including running filters, assigning pending records, merging patient files, adding missed infants, and processing transfers and refusals.
  • Reconcile Soundata records with state databases (TEHDI) to ensure accuracy, alignment, and complete reporting.
  • Maintain and update scorecard and certification tracking tools to support program performance and audit readiness.
  • Monitor daily data submissions and validate accuracy to ensure timely, compliant reporting.
  • Track and follow outpatient rescreen appointment outcomes to support state requirements.
  • Other duties as assigned.

 

Qualifications:

Education:

  • High school diploma or GED required

Experience Industry: Healthcare Administration

Experience:

  • At least 6 months of experience with healthcare data reporting or state compliance work.
  • Preferred: Experience with Soundata or similar data/reporting systems. Familiarity with the TX TEHDI system.
  • Preferred: Familiarity with newborn hearing screening programs, EHDI reporting, or public health data systems.

Skills/Abilities:

  • Strong organizational, communication, and documentation skills.
  • Ability to train and support team members.
  • Exceptional attention to detail and data accuracy
  • Proficient in Excel, Outlook, OneDrive, and SharePoint.
