Job description

Job Opening: Intake & Referral Coordinator

Location: South Africa - Remote (US Hours)
Type: Full-Time
Hours: Monday to Friday, 9 AM - 5 PM EST

Key Responsibilities:

  • Manage incoming client referrals and ensure all necessary information is collected to initiate the intake process.
  • Serve as the primary point of contact for referral sources, maintaining strong professional relationships.
  • Identify and develop new referral sources to support company growth.
  • Gather and verify client information required to place clients on the waitlist.
  • Maintain accurate records of referrals, inquiries, and waitlist status in the company’s systems.
  • Communicate clearly with families, providers, and internal teams regarding intake status and next steps.
  • Coordinate with clinical and administrative teams to ensure smooth onboarding of new clients.
  • Monitor referral trends and provide feedback to leadership on opportunities for growth.

Requirements

  • Previous experience in intake coordination, referral management, client services, or healthcare administration preferred.
  • Strong organizational skills with the ability to manage multiple referrals and inquiries simultaneously.
  • Excellent communication and interpersonal skills for building relationships with referral partners and families.
  • Ability to work independently and proactively identify growth opportunities.
  • High attention to detail and accuracy when collecting and managing client information.
  • Proficiency with administrative systems, scheduling software, and Microsoft Office or similar tools.
  • Experience in healthcare, behavioral health, or ABA services is an advantage.
