Roles & Responsibilities

  • 3+ years of experience in executive support, operations coordination, or similar roles.
  • Strong organizational and analytical skills with experience working with senior stakeholders and cross-functional teams.
  • Proficiency in Microsoft Office (Excel for data organization, trackers, dashboards; PowerPoint for executive presentations) and experience with task management tools (Asana, Notion, Monday, etc.).
  • Advanced English language proficiency and comfort working with data, dashboards, and reporting.

Requirements:

  • Manage the executive manager's calendar and travel arrangements, prioritizing high-priority strategic topics and coordinating meetings.
  • Screen requests, structure meeting agendas, prepare briefs, materials, and presentations; take meeting notes and track follow-up actions to ensure accountability.
  • Track key initiatives and timelines across the organization; follow up with teams to meet deadlines; highlight risks, delays, and blockers; maintain dashboards and status reports.
  • Provide decision support by preparing concise summaries and data analyses for leadership discussions; ensure the executive manager is prepared for key meetings and decisions; support cross-team information flow and workflow improvements.

As an Executive Assistant, you will play a pivotal role in coordinating schedules, organising meetings, and supporting the executive manager with essential administrative tasks.

This is a full-time, remote position open to candidates residing in Europe and CIS.

Job Responsibilities:

  • Executive Time & Priorities
    • Manage the executive manager's calendar, ensuring focus on high-priority strategic topics
    • Screen requests, coordinate communications, and structure meeting agendas
    • Prepare briefs, materials, and presentations for meetings and leadership discussions
    • Manage travel arrangements and logistics
  • Meeting & Communication Management
    • Take meeting notes, document decisions, and track follow-up actions
    • Ensure action items from leadership meetings are clearly assigned and completed
    • Support preparation and organization of leadership meetings, workshops, and events
  • Execution & Coordination
    • Track key initiatives and action items across the Commercial organization
    • Follow up with teams to ensure deadlines and commitments are met
    • Highlight risks, delays, and blockers proactively
  • Process & Visibility
    • Maintain dashboards, task trackers, and status reports for leadership visibility
    • Structure and improve internal workflows and planning processes
    • Support cross-team coordination and information flow
  • Decision Support
    • Prepare brief summaries, reports, and presentation materials
    • Support data analysis and information gathering for leadership discussions
    • Maintain high standards of data organization and documentation within the team
    • Ensure the executive manager is fully prepared for key meetings and decisions

Requirements

  • 3+ years of experience in executive support, operations coordination, or similar roles;
  • Strong organizational and analytical skills
  • Experience working with senior stakeholders and cross-functional teams;
  • Excellent Microsoft Office skills, particularly:
    • Excel (data organization, trackers, dashboards)
    • PowerPoint (executive presentations);
  • Experience with task management tools (Asana, Notion, Monday, etc.);
  • Comfortable working with data, dashboards, and reporting;
  • Languages. Advanced English
