File Document Management: maintain structured file storage in OneDrive, organize client documents systematically, ensure naming conventions are followed, and maintain audit-ready compliance files
Workflow Task Tracking: implement Trello or similar task board, monitor application progress, proactively remind team of deadlines, and reduce reliance on memory-based task management

About the Role
The client is a growing asset finance brokerage specialising in equipment, business and personal loans (non-mortgage). The business has experienced strong growth in the past three months, creating operational pressure and administrative backlog.
The Virtual Assistant - Asset Finance Administration will be responsible for organising the business operationally, supporting loan application processing, and reducing client’s mental load. The role is primarily administrative with structured exposure to loan processing within the Fintelligence aggregator system.
This is not a client-facing sales role. There will be no phone communication with clients and limited email communication.
The long-term vision is to build a small, trustworthy “family-style” team where systems are tight, work is calm, and everyone enjoys coming to work.

Responsibilities as a Virtual Assistant - Asset Finance Administration:
1. Loan Application & Aggregator Management • Upload and manage applications in Fintelligence • Enter client data accurately • Categorise and adjust living expenses to meet compliance benchmarks • Prepare and send privacy forms • Ensure files are submission-ready • Track outstanding conditions 2. File & Document Management • Maintain structured file storage in OneDrive • Organise client documents systematically • Ensure naming conventions are followed • Maintain audit-ready compliance files 4. Lead & Networking Support • Build simple lead management system (currently in email/memory) • Input networking contacts into structured format • Track follow-ups • Support marketing email preparation (future scope) 5. Workflow & Task Tracking • Implement Trello or similar task board • Monitor application progress • Proactively remind Peter of deadlines • Reduce reliance on memory-based task management
Qualifications as a Virtual Assistant - Asset Finance Administration:
• 3+ years in asset finance, lending admin, or financial services support • Experience handling payslips, banking data, and personal information • Experience working with Australian brokers desirable • Strong written English • Able to work autonomously without constant supervision
Technical Skills & Tools
1. Required Experience: • Minimum 3 years’ experience in financial services admin • Mid to high-level competency • Strong spreadsheet capability • Experience with loan processing systems preferred 2. Systems Used: • Outlook • Microsoft 365 • OneDrive • Microsoft Teams • Fintelligence (Aggregator Platform) • Trello (to be implemented)
