Roles & Responsibilities

  • Bachelor’s degree in healthcare administration, communications, or project management

  • Proficiency in Microsoft Office (PowerPoint, Excel, Outlook, Word) and project tools (Smartsheet, Teams); professionalism, discretion, and collaborative attitude

Requirements:

  • Provide executive administrative support to the CMO (calendar management, expenses, travel logistics) and serve as the primary coordinator for physician leadership initiatives, including the Physician Leadership Council and Medical Director Council
  • Plan, schedule, and manage logistics for monthly physician leadership meetings: agenda development, materials, follow-up communication, and drafting executive summaries and briefing materials for physician audiences
  • Lead New Physician Assimilation and Mentorship, coordinating onboarding (New Physician Day, CMO-site visits) with recruiting and corporate functions, and promoting ongoing engagement
  • Oversee Retreat/Event Planning and Physician Engagement: coordinating physician-facing events such as annual retreats and leadership summits, developing event materials, and tracking timelines, budgets, and outcomes

OVERVIEW 

PRISM Vision Group is seeking a highly organized and detail-oriented Senior Project Coordinator to support Chief Medical Officer (CMO) and advance physician-led initiatives across the organization. This role is instrumental in helping plan and execute key physician workstreams, from leadership meetings to physician retreats. The ideal candidate is a proactive self-starter who thrives in a fast-paced environment, communicates effectively with physicians and executive stakeholders, and brings structure and follow-through to physician-focused initiatives. 

 

Compensation DOE: Range: $80,000-100,000K

Responsibilities:

Executive Support 

  • Provide executive administrative to support to the CMO (e.g., calendar, expenses, travel logistics) 
  • Serve as the primary coordinator for strategic initiatives and leadership activities led by the CMO, including the Physician Leadership Council and Medical Director Council 
  • Schedule, plan, and manage logistics for monthly physician leadership meetings, including agenda creation, materials development, and follow-up communication 
  • Draft correspondence, executive summaries, and briefing materials for internal and external physician audiences 
  • Develop agendas, content, and minutes for Executive Staff Meetings 
  • Activities and related support may be after-hours to accommodate physician schedules  

 

Physician Leadership Program Management 

  • Work with functional areas (e.g., Finance, Data Analytics, RCMOperations) to adjust and track on physician-leadership related KPIs and reporting 
  • Organize, document, and track on physician-leadership council goals, initiatives, and KPIs 
  • Lead and manage meetings with corporate and operations partners as they relate to CMO initiatives 

 

New Physician Assimilation 

  • Schedule, coordinate, and manage meetings related to new physicians (“New Physician Day, CMO-site visits) 
  • Lead the new physician mentorship program in collaboration with CMO and supporting corporate functions 
  • Promote new physician engagement and culture via continued communication and maintenance of communication channels 
  • Work with recruiting liaison team to ensure seamless onboarding of new physicians and isolate areas of support from the CMO 

 

Retreat & Event Planning 

  • Lead planning and execution of physician-facing events such as the annual physician retreat and leadership summits 
  • Develop slides and materials for physician-facing events 
  • Coordinate with internal stakeholders to ensure seamless execution of event logistics 
  • Create and maintain event timelines, trackers, and budgets 

 

Project Management & Communications 

  • Adapt quickly to new, high-priority initiatives impacting the CMO and physician experience   
  • Track physician-related projects, timelines, and deliverables, ensuring clarity, alignment, and accountability across teams 
  • Develop and maintain trackers and project documents to keep stakeholders informed 
  • Liaise with cross-functional departments (e.g., HR, Operations, Marketing) to ensure successful execution of physician initiatives 

 

Physician Engagement & Culture Building 

  • Conduct routine site-visits with CMO to meet with physician and staff 
  • Help develop initiatives to strengthen physician community, connection, and culture across PRISM 
  • Support efforts to document and share physician best practices across the network 

 

Qualifications:

Education: 

  • Bachelor’s degree required; background in healthcare administration, communications, or project management required 

 

Experience: 

  • 2–4 years of experience in project coordination and executive support 

 

Skills & Attributes: 

  • Exceptionally organized and detail-oriented 
  • Comfortable working with high-level executives and physician stakeholders 
  • Strong written and verbal communication skills 
  • Proficient in Microsoft Office (PowerPoint, Excel, Outlook, Word) and project tools (e.g., Smartsheet, Teams)

WORK ENVIRONMENT & TRAVEL 

  • Remote position with travel required for retreatsoccasional in-person events, and clinic site visits   (25%)
