Roles & Responsibilities

  • 5+ years of experience in an executive assistant, project coordinator, or procurement role within the construction, interior design, or home renovation industry.
  • Strong procurement and supply chain knowledge, including vendor negotiation and inventory tracking for construction materials and interior finishes.
  • Project management and administrative expertise, including coordinating timelines, tracking shipments, and contract management with accurate project records.
  • Tech-savvy with experience using project management and inventory tracking software (prefer Materio and CompanyCam), plus strong communication and problem-solving abilities.

  • Administrative Office Support: Manage calendars, schedule meetings, and handle correspondence for leadership; ensure seamless day-to-day administrative operations.
  • Construction Timeline Coordination: Maintain and update project timelines, ensuring subcontractors, vendors, and suppliers meet deadlines; communicate to resolve scheduling conflicts.
  • Vendor/Subcontractor Communication: Liaise with subcontractors, suppliers, and clients to confirm orders, verify deliveries, oversee punch list items, and ensure smooth project execution.
  • Procurement Order Management: Oversee procurement activities, sourcing materials for kitchen and bathroom remodels and interior design projects; verify purchase orders, input product costs and shipping costs, and ensure receipts are entered into the software.

Industry Experience: Minimum 5 years of experience in an executive assistant, project coordinator, or procurement role within the construction, interior design, or home renovation industry. Procurement & Supply Chain Knowledge: Strong understanding of procurement processes, vendor negotiation, and inventory tracking for construction materials and interior finishes. Project Management Skills: Experience coordinating timelines, tracking shipments, and ensuring subcontractors and vendors stay on schedule. Administrative Expertise: Proficiency in contract management, document organization, and maintaining accurate project records. Tech-Savvy & Software Proficiency: Familiarity with project management and inventory tracking software used in the home renovation industry. Materio and CompanyCam software experience preferred. Strong Communication & Problem-Solving: Ability to coordinate between multiple stakeholders, address delays, and proactively find solutions to keep projects moving efficiently.

Core responsibilities:

Administrative & Office Support: Manage calendars, schedule meetings, and handle correspondence for leadership; ensure seamless day-to-day administrative operations. Construction Timeline Coordination: Maintain and update project timelines, ensuring subcontractors, vendors, and suppliers adhere to deadlines; communicate with teams to resolve scheduling conflicts. Vendor & Subcontractor Communication: Liaise with subcontractors, suppliers, and clients to confirm orders, verify deliveries, oversee punch list items, and ensure smooth project execution. Procurement & Order Management: Oversee procurement activities, sourcing materials, fixtures, and furnishings for kitchen and bathroom remodels, sourcing for interior design projects, verify purchase orders, input product cost + shipping cost, and ensure all receipts are entered into the software program. Logistics & Shipment Tracking: Track shipments, update project management software with delivery statuses, and proactively address delays or missing items to keep projects on schedule. Contract & Documentation Management: Prepare and review contracts, purchase orders, and agreements with vendors and subcontractors; ensure all paperwork is accurately completed and filed.
