Senior Specialist, Payroll Services Implementations

Roles & Responsibilities

  • Expert knowledge of payroll system setup/configuration and reporting

Requirements:

  • Serve as the primary point of contact for payroll implementations, bridging Sales and Client Services, and explaining the implementation process during kickoff
  • Oversee client onboarding including gathering forms, documenting requirements, migrating data from previous systems, configuring payroll and reports, and processing the first payroll for accuracy
  • Develop client training and documentation, including how-to guides and video tutorials; train clients on system use and tax handling when needed; lead transition to client services
  • Lead platform transition and system configuration across payroll, timekeeping, ACA, and HR modules for new and existing clients; provide second-tier troubleshooting and stay aligned with release schedules

Summary…

We are seeking an experienced Payroll Implementation Specialist to serve as the primary point of contact for new clients, ensuring a seamless transition from sales to client services and setting the stage for client success.

The Gig…

 

Client Lifecyle Ownership

  • Bridges the gap between Sales and Client Services.
    • Explains the implementation process during the client kickoff call.
    • Ensures all necessary forms/documentation are received from clients on time and in good order for go-live.
    • Uses needs analysis tools to ensure all client requirements are documented and understood.
    • Ensures all necessary information is procured/migrated from previous system for timely and accurate set up in the payroll system.
    • Configures payroll system and reports to client requirements.
    • Processes first payroll to ensure accuracy/consistency from previous system.
    • Trains clients on the use of payroll system for common tasks.
    • Provides detailed instructions for how to handle taxes not remitted by former provider.
    • Leads transition to client services.
  • Serve as the primary point of contact and success manager for strategic clients who enter their own payroll/new hires.
  • Leads platform transition program to migrate current clients from legacy payroll processing platforms to our current platform.

 

System Configuration

  • Leads the configuration of payroll, timekeeping, ACA, HR (performance management/applicant tracking/benefits enrollment) for new and existing clients expanding their use of the system.

Client Services/Administrative Support

  • Develop custom reports for clients as needed.
  • Second-tier payroll system troubleshooting; owns entry and resolution of all cases reported to payroll processing platform.
  • Occasionally trains client services team on system best practices to support first-contact resolution whenever possible.
  • Develops and executes protocols and templates for client communications from client kick-off through training and client services transition.
  • Develops a client needs assessment tool to document client requirements for all necessary system configuration and third-party integration.
  • Builds library of how to guides and video tutorials for clients and client services to reference for common tasks.
  • Stays on top of Prism HCM release schedule, contributing system improvement ideas and analyzing release notes for applicability to current and new clients.
