Job Description:

We are seeking an experienced and proactive Executive Assistant to support a dynamic entrepreneur and manage day-to-day operations across multiple business functions. This role is ideal for someone who thrives in a remote setting, excels at task prioritization, and can seamlessly balance high-level executive support with operational coordination.

The ideal candidate is detail-oriented, tech-savvy, organized, and capable of making strategic decisions in alignment with the founder’s goals. Prior experience supporting a founder or C-suite executive in a fast-paced, remote environment is highly desirable.



Responsibilities:

  • Provide high-level executive support including email and calendar management, inbox prioritization, scheduling, and travel coordination.

  • Act as a key liaison between the executive and team members, ensuring smooth information flow and task follow-through.

  • Manage business operations including SOP creation, CRM/data oversight, invoicing support, and vendor communications.

  • Lead project tracking and task delegation through tools such as ClickUp, Notion, or Asana.

  • Proactively identify gaps or inefficiencies and implement systems to improve productivity.

  • Maintain confidentiality and professionalism in handling sensitive information.

  • Oversee special projects and administrative workflows to ensure timely execution.

  • Prepare reports, summaries, and communication briefs for leadership.



Requirements

  • 3+ years of experience as an Executive Assistant, Virtual Assistant, or Operations Manager, preferably in a remote setting.

  • Exceptional organizational and multitasking skills with the ability to manage shifting priorities independently.

  • Proven experience using productivity tools such as Google Workspace, Slack, Zoom, ClickUp, Notion, or similar.

  • Strong written and verbal communication skills; capable of representing the executive with polish and professionalism.

  • Comfortable managing business systems, vendor relationships, and CRM tools.

  • Strategic mindset with a get-things-done attitude; not just a task taker, but a problem solver.

  • Experience working in a startup or entrepreneurial environment is a plus.
