Roles & Responsibilities

  • 2+ years of experience in operations, coaching support, or executive assistance
  • Excellent written and verbal communication in English

  • Proficiency with Notion, Slack, Google Sheets, Zoom, and ChatGPT

Requirements:

  • Operations: Track client progress in the coaching program and manage client-facing logistics (scheduling sessions and reminders)
  • Process building: Turn messy systems into repeatable processes and SOPs; build internal resources and trackers
  • Product/Project support: Assist in developing new tools (e.g., GPT-based call analyzers), run mini research or product improvement projects, and coordinate with external contractors
  • Strategic thinking: Contribute to content/outreach strategy, suggest improvements to client experience based on data, and assist with lead-generation diagnostics

Who We Are Hiring For...

We’re hiring a full-time Coaching Team Executive Assistant to directly support our Coaching Team in managing client success, optimizing systems, and helping build products that scale our impact.

This is not a glorified scheduling or note-taking role, we already have AI for that.

Instead, we’re looking for someone who thrives in fast-paced environments, can proactively solve problems, and isn’t afraid to bring strategic ideas to the table.

This person will act as the operational and strategic right-hand to our coaching team, ensuring nothing falls through the cracks.

  • Have 2+ years of experience in operations, coaching support, or executive assistance


Here Are Some Of The Responsibilities You Will Have...


Operations & Client Management

  • Track where each client is within our coaching program

  • Help coaches identify member progress, stuck points, and milestone completions

  • Manage client-facing logistics like scheduling sessions and reminders

  • Organize notes, follow-ups, and back-end tracking after group calls


Process Building & Execution

  • Turn messy systems into repeatable processes and SOPs

  • Build internal resources and trackers to help coaches operate more efficiently

  • Solve problems like: “How do we handle a coach calling in sick?” or “How do we track video submissions for review?"


Product & Project Support

  • Support creation of new tools (like GPT-based call analyzers) to save coaching time

  • Run mini research or product improvement projects that improve our delivery

  • Coordinate with external contractors or freelancers (e.g., editors, designers)


Strategic Thinking & Creative Input

  • Contribute to content and outreach strategy (e.g. creating whitepaper campaign ideas)

  • Suggest and test improvements to client experience based on data or feedback

  • Help clients with lead generation diagnostics and campaign improvement ideas


What Success Looks Like

  • Coaching team members feel supported and able to focus on coaching, not logistics

  • You catch issues before they become problems (e.g. missed deadlines, scheduling gaps)

  • Clients feel seen, supported, and tracked through every step of their journey

  • Mini-projects are completed on time and with care, without needing micromanagement

Requirements

  • Excellent written and verbal communication in English

  • Able to work remotely and asynchronously, with a strong internal drive

  • Comfortable using tools like Notion, Slack, Google Sheets, Zoom, ChatGPT

  • (Bonus) Familiar with the coaching, online education, or service business space


Bonus Points If You

  • Have worked on a coaching or consulting team before

  • Know how to analyze user journeys or lead conversion funnels

  • Enjoy building automations or streamlining systems

  • Can assist in light content creation, editing, or marketing campaign setup
