Job description

Max Retail empowers independent retailers and brands to reach hundreds of millions of consumers through technology that makes multichannel selling as easy as β€œclick, click, sold.” The platform connects sellers to leading online marketplaces, automating listings, pricing, and fulfillment. By helping businesses move inventory faster and more profitably, Max Retail fuels a more circular, sustainable retail economy.

The Product Ingestion Team Lead coordinates a distributed team of 21 overseas listing specialists who prepare seller inventory for distribution across eBay, Poshmark, Shop Premium Outlets, and other sales channels. You'll manage daily work assignments, optimize workflows to increase throughput, and build processes that scale our operations efficiently. This is a hands-on operational role perfect for someone with strong process improvement instincts who wants ownership of meaningful outcomes. You'll work closely with the Director of Support and have autonomy to test ideas, implement improvements, and drive measurable results. This role reports to the Director of Support and partners cross-functionally with Sales, Success, Product, and the Brand team.

What You'll Do:

Daily Workflow Coordination
  • Manage work queue in HubSpot across all submission statuses and balance workload across 21 team members
  • Prioritize high-value sellers, time-sensitive submissions, and revenue-impacting inventory
  • Monitor daily productivity metrics (currently 15 listings/hour target) and identify bottlenecks
  • Handle escalations and unblock team members encountering issues
  • Coordinate with Sales on new seller onboarding and initial inventory submissions

  • Throughput Optimization & Process Improvement
  • Identify inefficiencies and repetitive manual tasks that slow down the team
  • Design and implement workflow improvements to increase listings per hour
  • Reduce manual data manipulation time for non-standard seller submissions
  • Streamline brand creation workflow (currently 100-200 new brands per week)
  • Spot patterns in errors or delays and implement preventive solutions
  • Provide feedback to Product/Engineering on AI tool performance and feature needs
  • Test new tools and processes, measure impact, and scale what works

  • Documentation & Reporting
  • Create and maintain SOPs for common listing scenarios and edge cases
  • Document workflow improvements and train team on new processes
  • Track key metrics: listings per hour, error rates, time-to-completion, seller time-to-first-sale
  • Report trends and improvement opportunities to Director of Support
  • Build dashboards and tracking systems for real-time visibility

  • Who You Are:
  • Operational Problem Solver: You naturally spot inefficiencies and think "there's got to be a better way"
  • Data-Driven: You track metrics, test changes, and let results guide decisions
  • Detail-Oriented Executor: 2-4 years in operations, logistics, fulfillment, or e-commerce with a track record of improving processes
  • Self-Directed: You can identify what needs to be done and do it without constant oversight
  • Tech-Savvy: Strong proficiency with workflow tools (HubSpot, project management software) and advanced Google Sheets/Excel skills
  • Collaborative: Works effectively across functions with Sales, Success, Support, and Product teams
