Opportunity Overview As a member of the Rhythm International/Belgium & Netherlands team you will be working for a rapidly growing, innovative biopharmaceutical company. The Office & Operations Manager will play a key role in organizing and coordinating office administration and procedures, in order to ensure organizational effectiveness and efficiency. We are seeking a positive, proactive professional who is comfortable wearing multiple hats. The ideal candidate has experience managing a broad range of administrative and executive support responsibilities and is able to work independently with minimal supervision. You should be highly organized, adaptable and energized by supporting an office of diverse, passionate people. If you have an affinity for the medical/pharmaceutical world and enjoy working with a variety of internal and external stakeholders across marketing, market access, finance and medical, then you're the candidate we're looking for.
Responsibilities and Duties
Member of the International, Belgium & Dutch teams, ensuring the smooth running of the local and international office
Oversee and support day‑to‑day operations to ensure an efficient, well‑coordinated working environment
Support the international & country teams with:
Coordination and execution of event planning and logistics
General administrative support across teams
Management of contracts, invoices and purchase order processes
Act as P2P Super User, ensuring compliance and process continuity
Support the international marketing team:
Assist with the development, production and distribution of marketing materials (print and digital)
Oversee inventory and lifecycle management of materials, including version control, destruction of outdated items, and reprints
Support and coordinate partner and vendor management activities
Qualifications and Skills
Bachelor’s degree in a relevant area
Proven experience in a similar function (minimum of 5 years)
Excellent verbal and written communication skills
Fluent in Dutch & English
Hands-on and execution-focused mindset with ability to drive progress and deliver outcomes
Project management skills
Proficiency in MS Office
Experience of supporting cross functions, managing multiple stakeholders
Experience with CRM systems, contract administration, and finance‑related processes
Pharma industry knowledge and compliance understanding is a big plus
Comfortable operating in a fast-faced, dynamic environment
This role will be office based with flexibility to work from home. Part time work (32 hours) is open for discussion.
