Roles & Responsibilities

  • 3+ years of experience in procurement, finance operations, or a related role with end-to-end process responsibility
  • Strong understanding of accounting concepts, including expense coding, allocations, accruals, and reconciliations
  • Experience managing procurement activities, including vendor communication, contract coordination, purchase order creation, and invoice validation
  • Proficiency in Microsoft Excel; experience with FreshService (procurement) and/or Deltek Vision (ERP) is a strong plus

Requirements:

  • Manage end-to-end IT procurement lifecycle, including PO creation, invoice review, and ensuring necessary approvals are obtained
  • Ensure invoices are accurately coded, matched against POs, and processed in a timely manner in coordination with Finance and Accounting
  • Maintain vendor contracts and supporting documentation in FreshService; serve as a primary point of contact with vendors for orders, invoices, renewals, and issue resolution
  • Support process improvement and governance, including GL review activities in Deltek Vision and monitoring procurement activity (open POs, pending payments, contract expirations), providing status updates to IT leadership

Job Summary

We are seeking a mid-level IT Procurement & Finance Operations Specialist to partner in managing our IT procurement operations and supporting related IT Finance activities. This role will work closely with the existing IT Procurement & Finance Operations Specialist to ensure accuracy, compliance, and efficiency across purchasing, vendor management, and financial processes. The position is designed to provide depth, continuity, and shared accountability across the IT procurement and finance function.

This is a remote position and will follow U.S. East Coast hours (night shift, PH time).

Responsibilities & Qualifications

Key Responsibilities:

  • Partner in managing the full procurement lifecycle for IT, including reviewing invoices, creating POs, and ensuring all necessary approvals are obtained.
  • Ensure invoices are accurately coded, matched against POs, and processed in a timely manner in coordination with Finance and Accounting.
  • Maintain complete and current vendor contracts, agreements, and supporting documentation in FreshService.
  • Serve as a key point of contact with vendors to coordinate orders, invoices, renewals, and issue resolution.
  • Participating in GL review activities in Deltek Vision to verify transactions are properly booked and allocated between companies.
  • Support the ongoing maintenance and refinement of procurement processes to ensure consistency and compliance.
  • Monitor procurement activity, including open POs, pending payments, and contract expirations, and provide status updates to IT leadership as needed.
  • Partner with IT, Finance, and Accounting teams to resolve discrepancies, improve processes, and ensure adherence to company policies and audit requirements.

Qualifications:

  • 3+ years of experience in procurement, finance operations, or a related role with demonstrated responsibility across end-to-end processes.
  • Strong understanding of accounting concepts, including expense coding, allocations, accruals, and reconciliations.
  • Experience managing procurement activities, including vendor communication, contract coordination, purchase order creation, and invoice validation.
  • Experience working with FreshService (procurement) and/or Deltek Vision (ERP) is a strong plus.
  • Proficiency in Microsoft Excel and other tools used for financial tracking and reporting.
  • Excellent organizational skills with the ability to manage multiple priorities independently.
  • Clear and confident communicator, able to collaborate effectively across IT, Finance, Accounting, and with external vendors.
  • Process-oriented mindset with the ability to support consistent execution of standard procedures.
  • Comfortable working in a shared services environment and supporting multiple business units.
