Tenancy Progressor / Lettings Administrator

Support a fast-paced UK lettings team from Cape Town – remote role with hybrid potential

Cape Town | Remote (hybrid likely in future) | R30,000/month | UK working hours

About Our Client

Our client is a well-established UK lettings agency operating across six busy branches. Their Cape Town-based team plays a vital role in delivering seamless, compliant, and high-volume tenancy administration. With a focus on professionalism, efficiency, and customer service, they are expanding their South African operations and offering strong growth potential for experienced UK lettings professionals.

The Role: Tenancy Progressor / Lettings Administrator

This role supports the full tenancy progression process from offer accepted through to move-in. Youll liaise with UK-based negotiators, landlords, tenants, and third-party providers to ensure a smooth and compliant tenancy start. With access to systems like Reapit and Goodlord, you'll be responsible for managing contracts, compliance documentation, and move-in coordination across multiple branches.

Key Responsibilities

  • Minimum 2 years' experience in UK residential lettings or property administration
  • Manage tenancy progression from offer agreed to move-in across six UK branches
  • Liaise with tenants, landlords, referencing providers, and suppliers
  • Prepare and issue tenancy agreements and all pre-tenancy documentation
  • Register deposits and issue prescribed information within statutory timelines
  • Ensure compliance with UK lettings regulations (Right to Rent, EPC, Gas, EICR, How to Rent, etc.)
  • Coordinate payments, move-in dates, inventories, and check-ins/check-outs
  • Maintain accurate records using Reapit and process documentation via Goodlord
  • Provide excellent customer service and regular updates to all stakeholders

About You

  • 2+ years of UK lettings administration or tenancy progression experience
  • Strong knowledge of UK lettings legislation and compliance
  • Able to manage high-volume workloads across multiple branches
  • Highly organised with excellent time management and attention to detail
  • Confident using CRM systems (e.g., Reapit) and Microsoft Office
  • Professional, reliable, and calm under pressure
  • Strong written and verbal communication with a clear, neutral/UK English accent
  • Proactive and able to work independently
  • Comfortable working UK hours: Monday to Friday, 8:30 am – 5:00 pm
  • Open to hybrid working once local office is established
