Roles & Responsibilities

Requirements:

  • Own end-to-end onboarding for clinical and administrative hires, guiding new hires through onboarding portals and ensuring timely submission of required documents.
  • Lead credentialing and compliance activities, including collecting/verifying licenses and certifications, tracking expirations, renewals, and ensuring state, Medicare/Medicaid, and accreditation compliance.
  • Oversee background checks and screenings (initiate with vendors, review results, escalate red flags, maintain FCRA-compliant records).
  • Maintain and audit onboarding and credentialing documentation, keep accurate personnel files, and generate reports to support audits and process improvements.

Job description

We’re looking for an HR Onboarding Specialist to support a fast-growing health-tech platform serving home health and care organizations. This role is responsible for owning the end-to-end onboarding and credentialing process for both clinical and administrative hires, with a strong focus on compliance, documentation accuracy, and operational follow-through.

This is a detail-heavy, process-driven role ideal for someone with prior healthcare HR experience who understands confidentiality, regulatory requirements, and the real consequences of onboarding delays or compliance gaps.

What You’ll Work On

New Hire Onboarding

  • Coordinate all onboarding activities for clinical and administrative hires
  • Guide new hires through onboarding portals and ensure timely submission of required documents
  • Prepare and distribute offer letters, employment agreements, and onboarding packets
  • Coordinate background checks, drug screenings, and account setup

Credentialing and Compliance

  • Collect and verify clinical licenses and certifications such as RN, LVN, PT, OT, CPR, immunizations, TB tests, and related records
  • Track and monitor credential expirations using HRIS or compliance systems
  • Send renewal reminders proactively and follow through until completion
  • Ensure compliance with state regulations, Medicare and Medicaid requirements, and accreditation standards

Background Checks and Screening

  • Initiate and manage background checks, OIG exclusions, and reference verifications through approved vendors
  • Review screening results and escalate any red flags to HR leadership
  • Maintain accurate records in compliance with FCRA, EEOC, and internal policies

Documentation and Recordkeeping

  • Ensure all onboarding forms, credentialing documents, and training records are complete before orientation
  • Maintain personnel files with accuracy, confidentiality, and HIPAA compliance
  • Audit files regularly for completeness and accuracy
  • Coordinate with clinical leaders to ensure credentialing is complete before patient care begins

Process Improvement and Reporting

  • Identify opportunities to improve onboarding and credentialing workflows
  • Generate reports on onboarding status, credential compliance, and expiring documents
  • Support internal and external audits by preparing and submitting required documentation

What You Bring

  • 2+ years of experience in HR onboarding, credentialing, or compliance
  • Prior experience in healthcare or home health environments strongly preferred
  • Strong understanding of confidentiality, compliance, and documentation standards
  • High attention to detail with strong organizational skills
  • Experience working with HRIS systems and background check platforms
  • Proficiency with Microsoft Office tools
  • Clear written and verbal English communication skills
  • Ability to manage multiple onboarding workflows at once without errors

Nice to Have

  • Experience supporting clinical credentialing workflows
  • Familiarity with Medicare, Medicaid, or accreditation standards
  • Prior experience supporting audits or regulatory reviews
  • Experience working in remote or offshore HR teams
