  • Serve as the founder's right hand, handling follow-ups, scheduling, task prioritization, and cross-functional communication
  • Maintain internal dashboards and data trackers, generate weekly/monthly performance summaries, and contribute to workflow and documentation optimization

Job description

We’re looking for a Project Manager (Operations & Executive Support) to help bring structure, clarity, and execution across multiple projects and ventures.

You’ll work directly with the founder to coordinate initiatives, manage vendors, support communications, and ensure operations move forward efficiently. This role requires someone organized, resourceful, and comfortable switching between tasks — from high-level coordination to hands-on support.

What You’ll Work On

Project & Operations Management

  • Coordinate day-to-day operations and track progress across multiple projects
  • Manage timelines, deliverables, and dependencies to keep everything on schedule
  • Oversee vendor communication, contracts, and invoices
  • Support documentation, project tracking, and process improvement using Notion or similar tools

Executive & Communication Support

  • Serve as a right hand to the founder, handling follow-ups, scheduling, and task prioritization
  • Manage cross-functional communication between internal teams, partners, and vendors
  • Draft updates, recap notes, and task summaries to keep everyone aligned
  • Follow through on open items and ensure deadlines are met

Data, Systems, and Reporting

  • Maintain internal dashboards and data trackers for ongoing initiatives
  • Generate weekly and monthly performance summaries for leadership review
  • Contribute to optimizing workflows and internal systems to improve efficiency
  • Help refine and organize company documentation across tools and workspaces

What You Bring

  • 4+ years of experience in project management, operations, or executive support
  • Strong organizational and communication skills — both written and verbal
  • Proficiency with Notion, Google Workspace, Slack, and project management tools
  • Ability to manage multiple priorities and work across different business functions
  • Reliable, detail-oriented, and capable of anticipating needs before they arise
  • Comfortable working in a founder-led, fast-moving startup environment

Nice to Have

  • Experience managing vendors, invoices, or client communications
  • Familiarity with creative, marketing, or media production environments
  • Background in data tracking, reporting, or dashboard creation
  • Interest in strategy, systems design, or business operations growth
