Roles & Responsibilities

  • 2.5+ years of payroll processing experience, preferably for a multi-state employer, with familiarity in California wage and hour laws
  • Technical proficiency in MS Office Suite (especially Excel) and payroll platforms; Paylocity experience a plus
  • Strong attention to detail and organizational skills; ability to manage multiple priorities in a fast-paced environment
  • Effective verbal and written communication with ability to handle employee inquiries and deliver customer service

Requirements:

  • Payroll Administration: manage payroll processing for exempt and non-exempt employees across multiple states on a semi-monthly basis, including setup, modifications, and terminations in the payroll system
  • Timekeeping and Approvals: collect, review, and ensure accuracy in timekeeping information, holding department supervisors accountable for timely approvals
  • Deductions, Benefits, Garnishments, and Tax Compliance: oversee deductions for benefits (healthcare, 401k, FSA), process garnishments, and ensure tax compliance
  • 401(k) Administration, Compliance Testing, and Reporting: complete contributions, loan payments, matching, assist with 401(k) compliance testing, and generate internal management reports from the payroll platform

  • Experience: Minimum of 2.5 years of payroll processing experience, preferably for a multi-state employer, with familiarity in California wage and hour laws. 
  • Technical Proficiency: Skilled in MS Office Suite, especially Excel, with experience in payroll platforms (Paylocity experience is a plus). 
  • Attention to Detail: Strong organizational skills and accuracy, able to manage multiple priorities and deliver timely results in a fast-paced environment. 
  • Communication Skills: Effective verbal and written communication abilities, with the capacity to work across various levels within the organization. 
  • Customer Service Orientation: Skilled in handling employee inquiries and resolving payroll-related issues with a customer-focused approach. 
  • Analytical and Problem-Solving Abilities: Highly analytical with solid problem-solving skills, able to navigate complex payroll scenarios and ensure compliance.

Core responsibilities:

  • Payroll Administration: Manage payroll processing for exempt and non-exempt employees across multiple states on a semi-monthly basis, including setup, modifications, and terminations in the payroll system. 
  • Timekeeping and Approval: Collect, review, and ensure accuracy in timekeeping information, holding department supervisors accountable for timely approvals. 
  • Deductions and Compliance: Oversee detailed management of deductions for benefits (e.g., healthcare, 401k, FSA), process garnishments, and ensure tax compliance. 
  • Employee Communication: Serve as a point of contact for employees, clarifying deductions, direct deposits, PTO balances, and other payroll-related inquiries. 
  • Off-Cycle and Final Payments: Process final checks and off-cycle payments as needed, ensuring compliance with company and legal standards. 401(k) 
  • Administration: Complete contributions, loan payments, matching, and assist with 401(k) compliance testing using a web-based system. 
  • Reporting and Documentation: Generate and provide internal management reports from the payroll platform, ensuring accurate and timely data entry. 
  • Compliance and Record Management: Handle employment verifications, state registration for employment, and research and implement labor law changes.
