Job description

We are seeking a detail-oriented and resourceful Virtual Assistant to provide comprehensive support in administration, marketing, research, and client/project coordination. The ideal candidate will demonstrate professionalism, strong organizational skills, and the ability to manage competing priorities in a dynamic environment. This position will work closely with leadership and project teams to ensure efficient operations and high-quality client outcomes.

Full-time, Remote Opportunity

Working Hours: 9:00 AM – 5:00 PM Eastern Time, Monday–Friday

Job Responsibilities:

  1. Meeting Support: Join calls, take notes, and track follow-ups
  2. Calendar Management: Schedule, coordinate, and update team and client meetings
  3. Document & Presentation Support: Prepare and customize decks for clients and business development
  4. Research: Conduct targeted research for projects and client needs
  5. Database & Tracking: Maintain contact lists, trackers, and updates
  6. Administrative Support: Handle signatures, NDAs, invoices, and coordination with accounting
  7. Proposal Support: Assist with proposals through graphics, drafting, and formatting
  8. General Support: Provide ad hoc assistance and special project support

Requirements

  • Minimum of 4 years of experience in a professional setting
  • Minimum of 2 years of experience in a professional remote work environment
  • Strong organizational, research, and administrative skills
  • Experience managing calendars and scheduling across multiple time zones
  • Familiarity with Google Workspace (GSuite) tools (Docs, Sheets, Slides, Drive, Gmail, Calendar)
  • High emotional intelligence, maturity, and demonstrated business acumen
  • Excellent written and verbal communication skills in English
  • Comfort asking supervisors for clarity, deadlines, and priority-setting when not explicitly communicated
  • Proficiency in Microsoft Office Suite and virtual meeting platforms (Zoom, Teams)

Preferred

  • Experience supporting consulting, professional services, or international development organizations
  • Experience working in WordPress and/or Monday.com
  • Graphic design skills (PowerPoint, Canva, or equivalent)
  • Experience with CRM systems, project management tools, or databases

Minimum Technical and Work Environment Requirements:

  • Internet Connection:
    • Primary internet connection with a minimum speed of 15 Mbps.
    • Backup internet connection with at least 10 Mbps.
    • Backup connection must be capable of supporting work during a power outage.

  • Primary Device:
    • Desktop or laptop equipped with at least:
      • Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or an equivalent processor.
      • A minimum of 8 GB RAM.

  • Backup Device:
    • Must meet or exceed the performance of an Intel Core i3 processor.
    • Must be functional during power interruptions.

  • Peripherals and Workspace:
    • A functioning webcam.
    • A noise-canceling USB headset.
    • A quiet, dedicated home office space.
    • A smartphone for communication and verification purposes.
