Roles & Responsibilities

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 2+ years of experience in billing, collections, or accounting roles.
  • Familiarity with client portals and electronic invoicing systems (e.g., ARCA, Receita Federal) and regional billing processes (Argentina, Brazil, Mexico, and the U.S.).
  • Proficiency in Microsoft Excel or Google Sheets for billing tracking and reporting, and experience with billing/subscription platforms like Chargebee.

Requirements:

  • Oversee end-to-end billing across multiple regions: calculate monthly/projected billing, issue invoices (Argentina ARCA, Brazil Receita Federal, Mexico via local office, U.S. via Chargebee), and update customer data in Chargebee and related systems.
  • Manage collections: actively follow up on outstanding payments, record receipts, reconcile across bank accounts, and maintain updated client payment terms.
  • Handle customer care for billing: respond to inquiries, resend or correct invoices, cancel transactions, renew payment links, update billing/shipping information, and provide account statements to clients.
  • Support vendor onboarding and general administration: onboard vendors, keep customer/contract databases up to date, and handle administrative tasks such as managing sales commissions and organizing collection data.

Job description

We are looking for a Billing and Collections Executive with an organized profile and strong attention to detail, to lead tasks related to billing, collections, internal/external customer service, and general administrative support. This role involves close coordination with different departments, as well as managing billing software and updating customer databases.

Billing

  • Calculate and update monthly and projected billing in the corresponding file.
  • Issue invoices in Argentina using the ARCA system.
  • Issue invoices through the Receita Federal for operations in Brazil.
  • Coordinate invoice issuance from Mexico via the local office.
  • Issue invoices for the U.S. entity using Chargebee.
  • Enter new clients and configure plans, discounts, and specific terms in Chargebee.
  • Email invoices to clients.
  • Upload and submit invoices through clients' designated portals.

Collections

  • Actively follow up on outstanding payments.
  • Record received payments in the billing file.
  • Reconcile payments across various bank accounts.
  • Record and maintain updated payment terms for clients.

Customer Care

  • Manage inquiries received through the billing email inbox.
  • Resolve issues, resend or correct invoices, cancel transactions, apply discounts, renew payment links, update billing or shipping information, and share account statements with internal and external clients.

Sales Assistant

  • Handle vendor onboarding: complete forms, send documentation, and register on client portals.
  • Keep customer and contract databases up to date.

General Administrative Tasks

Execute general administrative tasks as required, such as:

  • Managing commission payments for the sales team/partners.
  • Saving and organizing collection data.

Requirements

- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

- 2+ years of experience in billing, collections, or accounting roles.

- Familiarity with client portals and electronic invoicing systems (e.g., ARCA, Receita Federal).

- Previous exposure to regional billing processes (If you have done Argentina, Brazil, Mexico and the U.S. is a strong plus!).

- Proficiency in Microsoft Excel or Google Sheets for billing tracking and reporting.

- Experience using billing and subscription platforms like Chargebee is highly desirable.

- Language requirements: Spanish (Native/Fluent), English (Advanced), Portuguese (Desirable)

- High attention to detail and organizational skills.

- Strong communication and customer service abilities.

- Team player, but able to work independently and proactively.
