Job description

Position: General Virtual Assistant
Number of hours: 5 hours/week
Schedule: TBA

Tasks required:

  • Maintain and coordinate monthly calendars, ensuring effective time management and scheduling of meetings, appointments, and travel arrangements

  • Manage emails and phone calls as assigned by the client

  • Upload, organize, and update leads or other data into Salesforce

  • Manage configuration of Salesforce features including user management, custom fields/objects, page layouts, workflow, and validation rules

  • Assist in preparing meeting agendas, taking meeting minutes, and ensuring timely distribution of materials to participants

  • Handle sensitive and confidential information with the utmost discretion and professionalism

  • Collaborate effectively with other team members and departments to ensure seamless workflow and the achievement of organizational goals

  • Set up and send out monthly newsletters and monitor the open rates, unsubscribes, and other established KPI’s

  • Basic social media management including, but not limited to, social media posting, digital marketing management

  • Provide excellent customer service to clients and stakeholders

  • Conduct data entry tasks accurately and efficiently

  • Assist in social media management, including content creation and scheduling

  • Support graphic design efforts for promotional materials and presentations

  • Participate in recruitment processes, including candidate screening and interview coordination

  • Other ad hoc tasks that would be assigned



Requirements:

  • Proven work experience as a General Virtual Assistant or a relevant role

  • Familiarity with current technologies, like desktop sharing, cloud services and VoIP (GSuite, Zoom, Slack, Asana, Notion, etc.)

  • Working experience with Salesforce CRM and data management is required

  • Strong proficiency in office software and communication tools

  • Knowledge of online calendars and scheduling (ex. Calendly, Google Calendar)

  • Excellent verbal and written English communication skills

  • Discretion and the ability to handle confidential information

  • Excellent phone, email and instant messaging communication skills

  • Highly organized and detail-oriented; able to efficiently prioritize multiple tasks

  • Adaptability and a proactive mindset

  • Ability to work independently and in a team-oriented environment

  • Self-disciplined and organized; able to consistently perform with limited supervision
