Job description

We are seeking a proactive and detailoriented Hospice Administrative Specialist to support our U.S.based hospice agency clients. The ideal candidate must have at least 2 years of administrative experience in a U.S. hospice agency, possess strong organizational skills, and demonstrate the ability to manage sensitive medical and patientrelated documentation.

Key Responsibilities:

  • Manage and maintain hospice agency documentation, including patient charts, compliance files, and electronic medical records (EHR).
  • Coordinate patient scheduling, staff visits, and ensure accurate documentation of care.
  • Assist with hospicespecific forms, intake packets, and MedicareMedicaid documentation.
  • Support the billing process: prepare claim packets, verify HCPCS codes, review documentation, and ensure timely claim submission.
  • Perform charge entry and assist with accounts receivable followup.
  • Maintain compliance with HIPAA regulations and hospice billing requirements.
  • Communicate with payors, providers, and families regarding billingrelated inquiries.
  • Organize, track, and update administrative tasks in cloudbased systems.
  • Support onboarding and credentialing of hospice staff, including background checks and compliance verification.
  • Assist in developing and maintaining SOPs, trackers, and compliance logs.

      Qualifications:

        • At least 2 years of administrative experience in a U.S. hospice agency (required).
        • Strong knowledge of hospice documentation, compliance standards, and HIPAA requirements.
        • Handson experience with EHR systems (Axxess, Homecare Homebase, MatrixCare, or similar).
        • Familiarity with MedicareMedicaid hospice billing processes and HCPCS coding.
        • Excellent communication skills (written and verbal) with the ability to handle sensitive conversations professionally.
        • Proficiency in Microsoft Office, Google Workspace, and ExcelSheets.
        • Strong organizational skills, attention to detail, and ability to multitask.
