Role Overview

We are seeking a highly organized, detailoriented, and proactive Executive Assistant to directly support our Founder & CEO. This is not a passive support role — you will be a critical partner in managing daily operations, maintaining investor and partner relationships, ensuring meetings are productive, and keeping our Founder operating at maximum efficiency.

You’ll act as the gatekeeper and righthand to the Founder, anticipating needs, managing communications, and ensuring priorities move forward without friction

Key Responsibilities

1. Daily Scheduling & Communication

  • Prepare and send StartofDay (SOD) emails summarizing the Founder’s schedule, priorities, and meeting details.
  • Flag scheduling conflicts and coordinate calendar adjustments.
  • Block headsdown work and personal time in the Founder’s calendar.

    • 2. Inbox & Communication Management

      • Monitor and triage the Founder’s inbox throughout the day.
      • Draft responses, delegate messages, and ensure urgent matters are addressed promptly.
      • Maintain concise, accurate, and professional communication on behalf of the Founder.

        • 3. Contact & Relationship Management

          • Maintain and update detailed contact records.
          • Capture new leads, investors, and partners.
          • Log followups, next steps, and meeting outcomes to ensure no opportunities are missed.

            • 4. FollowUp & Outreach Coordination

              • Set and track followup dates for key contacts.
              • Send reminders, bump emails, and coordinate with the Founder on hightouch outreach.
              • Support investor and partner engagement through warm introductions and curated communication.

                • 5. Meeting Preparation & Coordination

                  • Schedule and confirm meetings with accurate time zone management.
                  • Provide the Founder with premeeting briefs, including attendee bios, context, and objectives.
                  • Prepare documents for internal candidate interviews.

                    • 6. Investor & VC List Management

                      • Maintain the VC & investor database.
                      • Share updated lists with founderscontacts upon request.
                      • Coordinate introduction requests and follow up with VCs and investors.

                        • 7. EndofDay (EOD) WrapUp

                          • Conduct EOD sync with the Founder to recap the day’s meetings, outcomes, and next steps.
                          • Update contact records, priorities, and schedules based on new developments.
                          • Prepare the following day’s meeting briefs and schedule adjustments.

                            • 8. Event & Outreach Support

                              • Assist with compiling guest lists and outreach for Founderled events.
                              • Coordinate pre and postevent communications.

                                • 9. Ad Hoc Support

                                  • Accomplish ad hoc tasks for the Founder, including:
                                    • Booking flights, arranging travel, and securing accommodations
                                    • Handling personal and business finances as directed
                                    • Making dinner reservations and coordinating restaurant bookings
                                    • Running personal errands
                                    • Handling timesensitive research, document preparation, and other special projects

                                        • Requirements

                                          • Experience: 3+ years in an Executive Assistant, Chief of Staff, or operations coordination role (startup or founder support experience preferred)
                                          • Skills:

                                            • High attention to detail and accuracy
