Job Summary

We are seeking a detailoriented and analytical Project and Billing Analyst to support the financial management of projects from initiation through completion. This role will be responsible for tracking project budgets, processing client billing, analyzing costs, and ensuring compliance with contract terms. The ideal candidate will work closely with project managers, finance, and operations to ensure accurate financial reporting and timely invoicing.

Key Responsibilities:

• Prepare and issue client invoices in accordance with contract terms (T&M, fixed fee, percentage of completion, etc.).
• Track project milestones and deliverables for billing triggers.
• Review and verify billing data for accuracy and completeness.
• Maintaining detailed and accurate billing records and reports.
• Address client billing inquiries and resolve discrepancies in a timely manner.
• Reconcile billed vs. unbilled revenue and ensure proper revenue recognition.
• Generate project performance reports for project managers.
• Set up projects in the accounting system, including budgets, billing rules, and cost codes.
• Handle client payments and apply them to invoices.
• Track accounts receivable and follow up on outstanding payments when necessary.
• Coordinate with project managers to update financial projections and resolve variances.
• Monitor project budgets, forecasts, and actuals to ensure accurate financial reporting.
• Analyze project data to support forecasting and decisionmaking.
• Reconcile project costs and ensure accuracy of data in financial systems (ERP, PSA, etc.).
• Assist in monthly and quarterly financial close processes related to projects.
• Prepare financial reports, dashboards, and ad hoc analysis for internal stakeholders.
• Ensure compliance with internal policies, client contracts, and audit requirements.
• Assist with other accounting functions as needed.

  • Previous experience as a billing specialist, 2+ years preferred.
  • Knowledge of contract and project billing.
  • Strong analytical and problemsolving skills with attention to detail.
  • Excellent communication, organizational, and time management skills
  • Ability to work independently and as part of a team.
  • Ability to manage multiple projects and meet deadlines.
  • Experience with project management tools preferred.
  • Proficient in Microsoft Excel and other data analysis tools.
  • Proficiency with ERP systems, Deltek Vision or Vantagepoint preferred.
