RIVA Solutions is seeking a motivated Proposal Coordinator to join our elite Proposal Department within the Growth Team. This individual will play a key role in supporting full-lifecycle proposal development for federal opportunities, including responses to Requests for Proposals (RFPs), Requests for Quotes (RFQs), and Requests for Information (RFIs). The ideal candidate will be organized, detail-oriented, and able to work efficiently across multiple projects in a fast-paced environment.

 
Key Responsibilities Include:
  • Analyze requests for federal RFPs, RFQs, Sources Sought Notices (SSNs), and RFIs.
  • Support proposal start-up tasks such as kick-off meeting preparation, schedule development, and outline creation.
  • Compile relevant proposal content using internal libraries, including prior submissions, past performance narratives, and personnel resumes.
  • Develop compliance matrices and conduct compliance checks on draft responses.
  • Format and edit proposal documents in Microsoft Word and Adobe PDF for compliance, readability, and visual appeal.
  • Assist in maintaining the proposal content repository and graphics library.
  • Track proposal tasks, deadlines, and assignments from initiation to submission, managing multiple concurrent projects.
  • Communicate and coordinate with external partners to ensure timely access to documents and team collaboration.
  • Serve as the lead for RFIs, SSNs, and smaller task order responses, executing streamlined, rapid-turnaround proposal efforts.
  • Collaborate with internal and external stakeholders throughout the proposal lifecycle, maintaining professionalism under tight deadlines.

 
Minimum Requirements:
  • Bachelor’s degree from an accredited institution.
  • 1–3 years of experience in federal proposal coordination, preferably within the GovCon industry.
  • Solid understanding of the proposal development process, including planning, compliance, content sourcing, and submission.
  • Excellent organizational and time management skills with the ability to pivot between shifting priorities.
  • Strong research, reading comprehension, and analytical thinking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office 365 (Word, PowerPoint, Excel); familiarity with Adobe products is a plus.

 
Preferred Skills and Experience:
  • Degree in English, Journalism, or related field.
  • APMP Foundation-level certification or Shipley training.
  • Ability to work independently with a proactive, problem-solving mindset and a strong desire for professional growth.

 
Salary: $80,000/ yr based on experience
