Project Manager

Zen Media, Remote


Role Overview:


Own the daytoday execution for a portfolio of accounts. You’ll run ClickUpMonday.com, drive timelines, coordinate crossfunctional workstreams, prep the next 30 days at all times, and be a polished clientfacing communicator on chat and calls.


Key Responsibilities:


  • Project Systems: Buildmaintain ClickUp or Monday.com boards, automations, dependencies, and dashboards; keep tasks current with owners, dates, and statuses.
  • 30Day Readiness: Maintain rolling 30day plans per account; surface risks, dependencies, and capacity needs early.
  • CrossFunctional Orchestration: Align PR, social, editorial, paid, and SEO timelines into one unified plan with clear handoffs.
  • Client Comms: Lead async chat threads; draftsend agendas; run weekly status calls; document decisions and action items.
  • Scope & Change Control: Track deliverables against contract; log outofscope items; route change requests for approval.
  • Resource & Effort Tracking: Capture hourseffort by task; report utilization and variance to management monthly.
  • Quality & Documentation: Keep scopes, briefs, feedback, and asset logs organized and auditready.

    • Required Qualifications:


      • Based outside the U.S. with reliable daily overlap in EST (≥6 hours).
      • English proficiency (presentationgrade): Able to present project and marketing plans to North American clients with executive polish.
      • 1–3 years in digitalagency project coordination or management.
      • Working knowledge of PR, social, contenteditorial, paid media, and SEO workflows—how they interlock in campaigns.
      • Exceptionally organized; comfortable running multiple accounts simultaneously.

        • Preferred:


          • Prior marketing agency project management and clientfacing experience.
          • Leverages AI for research, document formatting, call recaps, and efficiency (e.g., notes summarization, firstdraft outlines).
          • Previous handson experience inside ClickUp (spaces, templates, automations, reporting).
          • Familiar with SlackTeams, Google Workspace, and deckreport prep.

            • KPIs (Accountability):


              • Zero Overdue: 0% overdue deliverables on assigned accounts (rolling).
              • OnTime Delivery forcasting: 100% deliverables shipped by agreed datesmilestones communicated on the project plan
              • Contract Alignment: 100% of monthly deliverables reconciled to contractSOW; discrepancies flagged within 2 business days.
              • Scope Control: 100% of outofscope items logged with documented approvals before execution.
              • Data Hygiene: 100% of tasks have owner, due date, status, and correct listfolder.
              • 30Day Plan: Rolling 30day project plan updated weekly for 100% accounts.
              • Meeting Readiness: Agendas sent ≥24h before calls; recapsaction items logged to ClickUpMonday within 1 hour (100%).
              • Response SLA: Initial response to client chat during EST hours within 2 business hours (≥95%).
              • Risk & Escalation: Risksdependencies recorded and escalated within 1 business day of identification (≥95%).
              • Change Orders: 100% of approved change requests documented and linked to tasks before work begins.
              • Client Health: Quarterly CSAT (or equivalent) reading healthy across assigned accounts.
