Boyle Software is looking for a Contract Operations Associate, Order Management to join our team full-time remotely on a project in the in the petcare / IoT industry. You will be part of a team that is developing innovative products to let pet owners take better care of their pets.

The client is based in the US, so we are looking for people in similar time zones to ensure at least 5 hours overlap with MDT (GMT-6) business hours. 

What you will do:

Order Processing & Data Management:

  • Regularly monitor a dedicated inbox for new order submissions.
  • Download and review CSV files, ensuring all required fields are correctly populated for order submission and addressing errors as needed.
  • Validate data integrity and adherence to specified formatting guidelines.
  • Utilize a bulk upload tool to input orders into the Shopify system.
  • Input orders directly into our Navision EDI/ERP system for Amazon, other retail channels, and manual orders.
  • Monitor SPS EDI Portal, process orders, complete order acknowledgement, and ASN in SPS Portal.

System and Process Oversight:

  • Monitor the propagation of orders from Shopify into other systems, including Navision, partner order subsystems, and Salesforce.
  • Identify and report any issues where orders may not propagate properly into other systems or are missing key fields.
  • Run manual reports as needed
  • Assist in the investigation and resolution of system and accounting-related problems as they arise.
  • Contribute to material and production forecasting based on order data.
  • Provide feedback on the efficiency of this new process and suggest improvements.
  • Handle failed orders and resolve EDI issues.
  • Pick up delivery and order-related queries from custom service and do necessary investigation with the team or 3PL.

Support and Documentation:

  • Report any issues encountered with order submission, processing, or propagation promptly to the Operations Team for investigation and resolution.
  • Contribute to the updating of process documentation as necessary to reflect improvements, resolutions to known issues, or changes in system functionalities.

Qualifications:

  • Proven experience in order processing, data entry, or a similar administrative role.
  • Strong attention to detail and a high level of accuracy in data validation and entry.
  • Experience with or ability to quickly learn how to use bulk upload tools, such as EZimporter.
  • Familiarity with e-commerce platforms like Shopify and customer relationship management (CRM) systems like Salesforce.
  • Proficiency in using Microsoft Excel or other spreadsheet software for data manipulation.
  • Excellent communication skills, both written and verbal, for coordinating with various departments and reporting issues.
  • Strong problem-solving skills and a proactive approach to identifying and addressing system issues.
  • Ability to work independently and manage time effectively to meet deadlines.

Nice to Have:

  • An understanding of Enterprise Resource Planning (ERP) systems, especially
    Navision and Oracle.
