Job description

🔍 Overview:
We are seeking a detailoriented and technically skilled Data Archival Specialist to lead the extraction, formatting, and archiving of 7 years of Incident, Change, and Problem data from our legacy BMC Remedy ITSM system. This role will be responsible for designing and executing an automated export and archival strategy, including the generation of searchable PDFs and an indexed archive.

✅ Key Responsibilities:
Design and implement an automated process to extract Incident, Change, and Problem records from Remedy ITSM.

Create readable and searchable PDF documents for each record, including related metadata and attachments where applicable.

Develop a structured folder and naming convention for archived documents.

Build a metadata index (e.g., CSV or lightweight database) to support search and retrieval.

Recommend and optionally configure a searchable archive tool (e.g., Docspell, Elastic, Paperless).

Ensure data handling meets compliance and retention policies (e.g., masking sensitive fields, organizing by retention year).

Document the full archival process and hand off scripts and documentation for ongoing access.

🧠 Required Qualifications:
3+ years of experience with BMC Remedy ITSM, especially Incident, Change, and Problem modules.

Strong scripting or development experience using tools like Python, SQL, or BMC Atrium Integrator (Pentaho).

Experience generating PDFs programmatically (e.g., PDFKit, ReportLab, or similar).

Familiarity with OCR, metadata tagging, and document management systems.

Strong organizational and documentation skills.

Ability to work independently and meet project milestones.

⭐ Preferred Qualifications:
Prior experience with ITSM system migrations or legacy system archiving.

Knowledge of document archiving platforms (e.g., ElasticSearch, Paperlessngx, Docspell).

Understanding of data privacy and retention best practices.

💼 Deliverables:
Exported archive of 7 years of Remedy ITSM data (PDF format).

Indexed metadata file or search interface.

All scripts, documentation, and configuration files required for ongoing maintenance.
