What impact will you make?
As the Office Manager at Bizzdesign, you will gain hands-on experience in office management and administrative support. You will be reporting directly to our Office Manager in the Netherlands (HQ), and you will be part of the Operations division at Bizzdesign.
Key Responsibilities:
- Serving as a Personal Assistant to the General Manager, providing high-level administrative support, managing the calendar, including scheduling and coordinating meetings and appointments.
- Handling confidential communications and correspondence with discretion and professionalism.
- Assisting with daily tasks, such as managing office communications, handling mail and shipping, and ensuring smooth office operations.
- Developing your organizational skills by maintaining the office handbook and managing our shared drive, and learning best practices for keeping a workplace efficient and organized.
- Assisting with managing office supplies and company materials, while also supporting purchase tracking and invoice management to get a grasp of financial administration.
- Negotiating contracts and overseeing service quality, and managing vendor payments and performance.
- Ensuring workplace safety and mediating emergency procedures (managing first aid supplies and ergonomic equipment).
- Welcoming visitors and managing front desk operations (issuing visitor badges & enforcing security procedures).
- Diving into the world of facilities management by helping us keep our Berlin office welcoming and functional. This experience will provide you with valuable insights into maintaining a productive and enjoyable workplace.
- Booking and preparing meeting rooms, ensuring equipment readiness.
- Arranging domestic and international travel (flights, hotels, transport).
- Setting up workspaces and welcoming packages for new hires, and responding to employee in-office related requests.
- Building your event planning and coordination skills by collaborating with our team to create memorable events that strengthen team bonds and showcase Bizzdesing’s vibrant culture. From organizing in-office gatherings and team lunches to virtual events and company-wide activities, you will learn the logistics of event planning and develop strong project management skills along the way.
Who are you?
- You are fluent in both English and German (written and verbal).
- You are available to work for 32-40 hours a week.
- You have previous experience in office management and/ or hospitality.
- You have experience working in an international, multicultural environment.
- You thrive in ambiguity and operate in a fast-paced, dynamic environment with shifting priorities.
- You have a strong attention to detail and commitment to delivering high-quality results.
- You can meet deadlines, be proactive, take initiative, and be adaptable.
- As we embrace a hybrid working model, you are willing and able to come to our Berlin office at least 2-3 days per week, and the rest of the week, you can work from home.
- You are available for 32 hours per week and might be required to work outside the usual 9 to 17 working hours as urgent matters might appear and need your immediate attention.

- 1st Interview with our Internal Recruiter (30 minutes)
- 2nd Interview with our Officer Manager and HR Business Partner (45 minutes)
- 3rd Interview on-site with our General Manager and CCO (up to 1 hour)
