Job Requirements:

  • Strong written and spoken English skills. 3+ years proven experience in executive assistant or receptionist roles.
  • Medical receptionist experience is preferred. 
  • Exceptional communication skills. 
  • Proficiency in Microsoft Office Suite. Strong organizational abilities and discretion. 
  • Proven appointment scheduling experience.

Core responsibilities:

  • Answer and manage incoming calls promptly and professionally as needed (not in the initial stages of engagement). 
  • Log tasks & shift requests to the appropriate team member through teams. Respond to emails and online inquiries with accurate and timely information. 
  • Maintain a high level of communication with clients and team members. Keep detailed records of customer interactions and transactions, reporting and recording through ShiftCare & Teams.
  • Send reminders and confirmations for scheduled appointments. 
  • Prepare & update Participant documentation with current information from signing.
  • Review Participant files to prepare and facilitate any/all updated documentation required.
  • Update and maintain accurate contact information in participant profiles. 
  • Document and escalate complaints in participant profiles to the designated case worker. 
  • Managing documents received from DocuSign and Jotform, filing, data entry and implementing.
  • Filing and uploading Staff and Participant information to all required platforms 
  • Data collating from Staff and participants as needed. 
  • Data entry and Recording of staff and participant information in all required platforms. 
  • Updating internal registries with relevant data and information.
  • Writing support plans for Participants using templates and information provided.
