Job description

Job Summary

We are seeking a highly motivated, detail-oriented professional to lead advisory and service engagements related to retention schedule projects. This role will work closely with Info Gov Counsel and the larger Info Gov Team to ensure the efficient scheduling and delivery of services, including periodic regulatory reviews, as well as client support. The candidate will work closely with a team dedicated to managing records retention schedules, legal and regulatory citations, and information governance policies. Additionally, the Specialist will lead process improvement efforts, manage workflows, and contribute to optimizing project management software functionality as well as enhancing productivity within Access’ Virgo platform.

Primary Responsibilities:

  1. Client Support: Serve as go-to resource and escalation point for client concerns, providing authoritative guidance to promptly resolve support cases ensuring exceptional client service.
  2. Project Management Software and Retention Schedule Maintenance: Maintain and optimize project management software for project tracking, deadlines, and client data. Configure and update system processes to align with changing client needs or regulatory requirements.
  3. Process Management: Responsible for managing project milestones and deadlines to ensure timely completion of quarterly and annual regulatory reviews, as well as other client deliverables, in alignment with service level agreements. Determine appropriate workflow changes and prioritize tasks with minimal supervision.
  4. Strategic Cross-functional Collaboration: Collaborate with Sales and Support teams with new client implementations, manage client onboarding, and provide ongoing support. Serve as the primary liaison for gathering client-specific information and planning delivery when clients expand the scope of their current subscription or service level.

 

Additional Responsibilities:

  1. Retention Schedule and Information Governance Management: Contribute to the development, review, and maintenance of client retention schedules and policies in collaboration with Counsel and Senior Counsel, ensuring compliance with current legal and regulatory standards.
  2. Process Improvement Leadership: Lead internal initiatives to improve operational efficiency, including workflow redesign and template standardization.

 

Education and Experience:

  • Paralegal certification or equivalent experience
  • 3+ years of experience in a legal or regulatory environment, preferably in information governance, records retention, or privacy
  • Experience with legal research, particularly related to records retention and compliance
  • Proficiency in Smartsheet, Virgo, Microsoft Office Suite, and related applications

Knowledge, Skills, and Abilities:

  • Excellent organizational skills and the ability to manage multiple projects and deadlines
  • Detail-oriented with a focus on accuracy and compliance
  • Ability to support and assist multiple attorneys
  • Strong communication skills
  • Proven ability to work effectively in both independent and collaborative environments
  • Ability to communicate with clients professionally and efficiently
  • Self-directed with the ability to make strategic decisions in a fast-paced environment
  • Experience in legal project management or process optimization preferred

Compensation: $75,000 + incentive compensation
