Job description

Communication and Liaison
• Handle inquiries, feedback, and updates, ensuring executives are informed of important developments.
• Lead the event-related correspondences and scheduling, including outreach, speaker and sponsor prep, attendee registration assistance, and CVENT communications, surveys, and updates.
• Coordinate with the graphic designer to update presentations as well as digital and print marketing materials (including website, LinkedIn, etc.).

Process Improvement and System Management
• Identify inefficiencies in administrative processes and propose & document improvements.
• Manage business tools, including Microsoft Office Suite (PowerPoint, Excel, SharePoint, Word), event management software (CVENT), CRMs (HubSpot), community software (CIRCLE), and communication software (e.g., Teams, Zoom).
• Ensure all systems and tools are up-to-date and aligned with business goals.

Administrative Support
• Manage and organize executives' schedules, including coordinating meetings, conference calls, and appointments.
• Prepare detailed meeting agendas, document minutes, and ensure follow-ups on actionable items.
• Screen and prioritize emails, correspondence, and phone calls to ensure timely responses.
• Draft and edit professional correspondence, memos, and reports on behalf of executives. Travel and Event Coordination
• Plan and coordinate complex domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
• Assist in planning corporate events, such as client meetings and conferences.

Project Management
• Assist in planning and monitoring projects, ensuring deliverables are met within deadlines.
• Act as a point of contact between the executive team and internal/external stakeholders to manage communication and workflow.
