As a Transfer Navigator, you will play a critical role in supporting prospective learners as they explore opportunities to take Sophia courses for college credit. You will provide personalized, accurate, and timely guidance about how Sophia Learning’s offerings align with their educational goals and how to successfully navigate the credit transfer process at their home institutions. This role bridges the gap between Sophia’s academic offerings and institutional transfer policies to help students make informed, confident decisions.
This position is ideal for someone who thrives in ambiguity, embraces a start-up mentality, and is eager to build systems and processes from the ground up. You’ll play a key part in shaping a scalable, learner-centric experience in a rapidly evolving educational landscape.
Essential Duties and Responsibilities:
Learner Support & Advising
Engage with prospective and active learners through various communication channels (email, chat, phone, video) to advise on course selection and transfer eligibility.
Understand and communicate Sophia’s course structure, credit recommendation process, and partnerships with higher education institutions.
- Help learners assess how Sophia courses may fit into their degree programs and meet specific academic or transfer requirements.
Transfer Guidance
Assist learners in navigating their home institution’s transfer credit approval process, including understanding articulation agreements, credit equivalencies, and documentation needs.
Provide guidance on obtaining pre-approval from academic advisors or registrars at home institutions.
- Maintain up-to-date knowledge of transfer policies and practices across a range of partner and non-partner institutions.
System Development & Collaboration
Develop and iterate on scalable systems, processes, and tools that improve the transfer guidance experience for learners.
- Contribute to internal documentation, knowledge bases, and decision trees to support clarity in complex or novel situations.
- Collaborate with internal teams (e.g., Learner Support, Partner Success, Product) to ensure accurate and learner-centric information is shared.
- Track learner inquiries, outcomes, and trends using CRM systems and other tools to ensure a high level of service.
Job Skills:
Advising & Counseling: Ability to support and coach learners through complex academic decisions with empathy and accuracy.
Research & Interpretation: Skilled in analyzing transfer policies, course catalogs, and institutional guidelines to provide tailored guidance.
Process Development: Experience creating scalable workflows, documentation, and decision-support tools in dynamic environments.
CRM & Data Management: Proficiency with customer relationship management (CRM) systems such as Salesforce, Zendesk, or similar platforms.
Communication Tools: Comfortable using tools like Microsoft Teams and email platforms for synchronous and asynchronous learner support.
Knowledge Management: Ability to organize and maintain internal knowledge bases or learner-facing FAQ systems.
Project Management: Strong time management, prioritization, and task coordination skills to support multiple learners and initiatives simultaneously.
Tech Savvy: Quick to learn new software platforms and tools that enhance learner experience and team operations.
Documentation: Competent in drafting learner resources, guides, and templates that support independent navigation of credit transfer steps.
Work Experience:
2+ years of experience in academic advising, admissions, transfer services, or student support.
Familiarity with college credit transfer processes and general education curriculum.
Strong interpersonal, written, and verbal communication skills.
Empathetic and solution-oriented approach to supporting learners of diverse backgrounds.
Demonstrated ability to work in unstructured environments and build processes from scratch.
Experience in online or adult education environments (Preferred)
Understanding of credit recommendation services such as ACE (Preferred)
Education:
Bachelor’s degree in education, counseling, communications, or a related field.
Other:
Must be able to travel occasionally should a business need arise. For most roles travel would not be common. Travel may involve plane, car or metro. In accordance with ADA policies, reasonable accommodations regarding travel limitations can be provided. Travel will be more common for roles such as Account Executives (25 - 50%), senior leaders (10 – 20%) or Capella Core Faculty (5 – 10%).
Ability to work onsite in Corporate or Campus location (in a typical office environment) may be required based on role. If so, this would include being mobile within the office, including movement from floor-to-floor using elevators or stairs.
If offsite or hybrid role, must have access to work in setting which enables meeting all requirements of the role (including privacy, reliable internet access, phone, ability to video conference, etc.) at a remote location.
