Job Title: Senior Administrator (HR- Finance)

Job Purpose:
The Senior Administrator (HR/Finance) is responsible for leading and managing the firm’s HR and financial operations to ensure the firm’s efficiency, compliance, and strategic alignment. This role oversees financial planning, reporting, payroll, and internal controls, while also driving HR functions such as talent management, employee relations, performance management, and compliance with labor laws. Acting as a key business partner to management, the role ensures that HR and financial strategies support the firm’s growth, operational excellence, and overall business objectives.
Key Result Areas
Growth & Profitability
Assist in developing and reviewing annual budgets in consultation with departmental unit leaders and budget holders.
Assist in financial planning, cash flow management, and internal controls to support business sustainability.
Provide financial insights to the Director/Partner and senior leadership to inform strategic decision-making.
Assist in financial reporting, ensuring compliance with statutory requirements, and internal policies.
Ensure timely and accurate disbursement of payments, payroll processing, and financial reconciliations.
Leadership / Employee Excellence & Company Relationships
Handle end-to-end HR activities, including recruitment & selection, performance management, training & development, compensation & benefits, employee relations, and grievances resolution.
Work closely with senior management to develop and implement HR strategies that align with business objectives.
Advise management on HR policies, labor laws, and compliance with personnel policies.
Direct the performance review process across the firm and ensure continuous employee development.
Coach and educate staff on HR best practices, employee engagement, and leadership development.
Empower the team to continuously improve internal client service and work processes
Maintain and optimize the HR system to ensure accurate employee data and operational efficiency.
Develop strategies and initiatives to enhance employee experience, engagement, and retention.
Assist in leading compensation and benefits program design and ensure alignment with market standards.
Work as a business partner to proactively support different departments in HR and financial matters.
Maintain professional relationships with external stakeholders, including auditors, vendors, and regulatory bodies.
Oversee statutory compliance, including tax filings, payroll obligations, and liaising with local authorities.
Ensure quick resolution and address of customer queries, both internal and external.
Operational Excellence:
Ensure timely financial reporting, including budget reports, cash flow projections, and cost analysis.
Lead the payroll process, including insurance and statutory deductions.
Ensure that all accounting tasks, financial reconciliations, and financial statements are completed within the required timelines and meet audit standards.
Establish and maintain internal controls and financial procedures to ensure efficiency and compliance.
Monitor and control expenses to attain net profit margins.
Ensure the maintenance of all accounting payments, receipts, nominal ledger, payroll, indemnity, petty cash, and other source records and associated reconciliations to an acceptable standard and timetable for the financial year
Act as the control point of HR & Finance, ensuring consistency in policies, procedures, and decision-making.
Quality, Risk, and Compliance
Ensure compliance with labor laws, tax regulations, and financial reporting standards.
Oversee adherence to firm policies, including those outlined in the Staff Handbook.
Maintain integrity in HR and financial systems to mitigate risk and support governance.
Ensure maintenance of the integrity of the accounting system to ensure it remains effective and operational at all times
Ensure that all statutory and financial obligations are met promptly.
Work closely with external auditors to ensure accurate and timely completion of audits and tax filings.

Experience & Qualifications
Minimum of three (3) years of relevant professional experience in administration, human resources, finance and procurement, or related fields.
At least 3 years of progressive experience in Finance and Administrative roles.
Computer literacy, including proven experience with computerized packages, word processing, and spreadsheets in QuickBooks, as well as Microsoft Word and Excel.
Excellent organizational and communication skills.
Must demonstrate honesty and integrity.
Proficiency in English and French is essential. Kirundi language skills are desirable.
