Key responsibilities:

  • Manage the CEO's calendar, emails, and boundaries to ensure focus and efficiency.
  • Serve as the first point of contact for leadership and escalate issues as needed.
  • Prepare agendas, materials, and follow-up actions for meetings and updates.
  • Consolidate reports, analyze boundary breaches, and maintain workflow documentation.

Job description

This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Job Type: Fulltime



1. Calendar, Email & Boundary Management
  • Maintain the CEO’s “Ideal Week” rules in Google Calendar; decline or reschedule requests that violate deep‑work, family time or Friday off blocks.

  • Triage CEO inbox hourly; label, delegate or draft replies so inbox zero is hit daily.

  • Own Calendly settings for salesstrategic calls; monitor that weekly caps are not exceeded.

    • 2. Executive Delegation & Liaison
      • Log all CEO‑delegated tasks in Notion Delegation Tracker; confirm each task has owner, SOP link and due date.

      • Attend leadership huddles in CEO’s stead when they are on leave or not required; circulate notes and decision points within 1 hour.

      • Serve as first point of contact for Heads of Delivery, Finance, Ops, Marketing when CEO is unavailable; escalate only true blockers.

        • 3. Meeting Coordination & Follow‑Through
          • Prepare agendas and materials for Weekly Huddle, Monthly Ops Pulse and board updates; ensure inputs from DRIs are submitted on time.

          • Time‑keep live meetings; capture decisions and actions directly into Notion Action Log.

          • Send meeting recap Loom + Notion link within 2 hours of meeting end.

            • 4. Reporting & Continuous Improvement
              • Consolidate weekly KPI snapshots (Looker CEO dashboard + Action tracker) and email to CEO Monday 7 AM.

              • Analyse recurring “boundary breaches” or delayed actions; propose process or tool tweaks each month.

              • Maintain a living EA Playbook documenting workflows, templates, and escalation paths.




                • Requirements
                  • 4+ years supporting C‑level executives in fast‑moving environments.

                  • Expert at Google Workspace, Calendly, Notion, Slack and virtual meeting tools.

                  • Assertive yet tactful; comfortable saying “No” to protect priorities.

                  • Systems thinker – builds checklists, templates and automations instead of reinventing.

                  • High situational awareness and confidentiality.

                  • Excellent written and verbal communication; can adopt CEO’s tone.
