Key responsibilities:

  • Communicate with residents and partners, providing check-in/check-out instructions and responding to maintenance requests.
  • Coordinate operations such as setting up utilities and managing vendors and lease calendars.
  • Maintain accurate documentation and update SOPs and databases.
  • Generate reports on maintenance, vendor performance, occupancy, and rent status, and suggest process improvements.

Job description

This is a remote position.

Schedule
  • MonFriday 9am 5pm PT plus flexibility to respond to urgent client comms nights and weekends
    • Client timezone: EST but the job will follow PT

      Responsibilities

      Resident & Partner Communication

      • Send timely checkin checkout instructions and house info.

      • Respond to maintenance requests with empathy and urgency; triage, dispatch, and follow through to resolution.

        • Operations & Coordination

          • Set up transfer utilities (electric, gas, internet, water, etc.) for new leases.

          • Schedule and manage vendors (cleaners, handymen, inspectors) and track completion.

          • Manage lease calendars, key dates, renewals, and notice periods.

          • Track rent payments, late notices, and reconciliations; flag issues proactively.

            • Process & Documentation

              • Create and update SOPs and playbooks as we scale.

              • Keep Airtable (CRMops database) accurate and up to date—notes, statuses, documents.

              • Log all tasks, timelines, and outcomes so the team has clear visibility.

                • Metrics & Reporting

                  • Report weeklymonthly on openclosed maintenance tickets, vendor SLAs, occupancy, rent status, etc.

                  • Suggest process improvements based on data and recurring issues.



                    • Requirements

                      • Previous experience in property management, ops, hospitality, or similar service role.

                      • Proven track record handling maintenance coordination and vendor scheduling.

                      • Excellent written documentation and notetaking.

                      • Availability to respond to urgent issues during agreedupon hours (some afterhours escalation possible).

                      • Flexibility to extend hours or work some short extra shifts on weekends (if need it, extra hours will be paid)

                              • Experience in property management, real estate operations, or insuranceALE housing.

                              • Familiarity with midterm rentals or corporate housing workflows.

                              • Basic accounting or rent collection platform experience (e.g., AppFolio, Buildium, Stripe).

                              • Comfortable using AI tools to draft SOPs, emails, or checklists faster.
