Job description

This is a remote position.


Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Job Type: Fulltime


Responsibilities

  • Manage all client communications including emails, phone calls, SMS, and social media inquiries with response times within 1 hour during business hours
  • Qualify leads and update deal statuses in CRM, ensuring all prospects are properly documented within 24 hours of initial contact
  • Conduct weekly financial reconciliation in Wunderbuild to provide realtime cost tracking versus actual expenses for proactive budget management
  • Match all invoices to correct jobs in Wunderbuild and generate client invoices within 48 hours of work completion
  • Coordinate with bookkeeper to ensure timely payment processing and maintain accurate job costing records
  • Organize and maintain all job documentation within Wunderbuild platform
  • Schedule jobs considering team workloads and travel times to maximize onsite productivity
  • Conduct job auditing for timesheets and variations, maintaining all compliance records
  • Maximize utilization of Wunderbuild platform including document management, budget tracking, and checklist functions
  • Support supplier and subcontractor coordination including price checking and maintaining updated price books
  • Assist with quote and tender management processes to streamline estimation workflows
  • Follow up on completed projects for Google reviews and referral requests
  • Provide weekly budget meeting preparation and financial reporting for active projects

    • Scope:

      • Primary focus on financial operations with weekly reconciliation being paramount priority
      • Full ownership of client communication management across all channels
      • Complete responsibility for Wunderbuild platform optimization and utilization
      • Support role in supplier and subcontractor coordination
      • Administrative support for quote and tender processes
      • Compliance and documentation management for all active projects
      • Lead qualification and CRM management
      • Coordination with existing bookkeeper for monthly financial processes
      • Postproject followup for reviews and referrals
      • Weekly financial reporting and budget meeting preparation

        • Requirements

          • Strong background in bookkeeping, finance, accounting, or similar field (highly preferred due to financial focus)
          • Excellent written and verbal communication skills for client interaction
          • Proven ability to manage multiple projects and priorities simultaneously
          • Strong attention to detail for financial reconciliation and compliance documentation
          • Proficiency in email management and digital communication platforms
          • Understanding of construction industry processes and terminology
          • Ability to work independently with minimal supervision
          • Strong organizational skills for document management and scheduling
