Schedule: 8-hour shifts between 7:00 AM – 4:00 PM Pacific Time with 1 hour unpaid break
We are a boutique event strategy and production agency, has an exciting
opportunity for a Virtual Administrative Assistant to join our team. Being adaptable, agile, and eager to learn is crucial.
We are looking for a highly organized and detail-oriented Administrative Assistant who is
energized by our values, work, and goals and will contribute to each with enthusiasm.
Scope:
● Collaborate with and support our Marketing, and Sales teams
● No direct client interaction or phone answering required
Responsibilities:
● This role provides vital support to the Sale, and Marketing teams
by managing a range of administrative tasks, projects, and deliverables. The ideal
candidate is highly adaptable, organized, and responsive to shifting priorities.
We will provide training as needed.
General Administrative
- Document & Receipt Management: Organize and maintain digital files, including receipts, contracts, and other documents in GoogleDrive.
- Data Entry & Updates: Maintain and update spreadsheets to ensure accurate and up-to-date information.
- Email Support: Respond to outreach and follow-up emails as directed.
- Research & Reporting: Conduct online research on a variety oftopics such as business tools, market trends, etc.
- Summarize findings in clear, comparative formats (Google Sheet outlining key features, costs, and pros/cons). Present key insights and recommendations to support informed decision-making.
Marketing
- Support content creation and scheduling across digital platforms, with a focus on consistency, brand alignment, and engagement.
- Assist with monthly marketing buildouts, including newsletters, blogs, and email campaigns, using provided copy and templates.
- Contribute to external visibility efforts through research and coordination for PR, speaking engagements, podcast features, and awards.
- Maintain and update internal marketing trackers, ensuring follow-up actions are timely and organized.
- Participate in launch prep for our new website, supporting updates, testing, and backend coordination.
Sales
Support CRM efforts (HubSpot)
● Contact maintenance
● Workflow research/implementation
Research prospective contacts, companies, and events within specific target industries
Update our Bash Event Database to be current and accurate
Assist with updating proposal/digital assets
Support 2026 Sales Strategy
● Application process/launch
● Organization of acct management/customer experience roadmap
Requirements
● 3+ years of proven success as a Virtual Administrative Assistant
● Expertise in Google Workspace
○ Google Docs: Skilled in creating, formatting, and editing professional
documents
○ Google Slides: Capable of designing visually engaging and well-organized
presentations
○ Google Sheets: Competent in managing data, creating basic formulas, and
creating clear reports
● Proven expertise in using Canva to create polished, on-brand visual content
● CRM management expertise (preferably proficient in HubSpot)
● Strong research skills with the ability to efficiently find accurate and relevant
information
○ Takes a data driven approach to research and gathering information.
○ Ability to find contact and personal information about target contacts and
clients online
○ Comfortable Using AI to assist in refining search criteria or approach for
most efficiency of time
○ Expertise in summarizing findings into clear, concise documents, slides, or
spreadsheets
○ Ability to identify and outline actionable steps and recommendations
● Familiar and comfortable using AI as a tool for research, copy writing, and
summarizing complicated information
● Meticulously organized and extremely detail-oriented
● Fluent in American English with strong written communication appropriate for
direct customer service
● Quick learner with enthusiasm for mastering new tools, technologies, and systems
