Job description

About the Role:

We are seeking a detail-oriented and proactive HR Administrative Specialist to join our team. The ideal candidate will have prior experience supporting U.S.-based clients, particularly in administrative and HR-related functions. This role involves recruitment support, training coordination, employee file management, compliance, and benefits tracking — all while ensuring a seamless virtual office workflow.

Key Responsibilities:
  • Conduct caregiver/DSP interviews and assist in the full onboarding process, including application form completion and onboarding documentation
  • Provide support with sourcing and coordinating potential candidates through various platforms (e.g., job boards, referrals)
  • Track onboarding, retention, and renewal efforts, including timely follow-up during the initial employment period and throughout the employment lifecycle
  • Conduct reference checks, OIG and background screenings, and assist with maintaining updated staff documentation
  • Coordinate and schedule staff training and orientation, assigning training materials and assisting with access or technical issues
  • Manage digital employee records and documents, including I-9s, W-4s, direct deposit forms, and vendor sign-offs
  • Track compliance requirements such as background checks, incident reports, disciplinary records, and timesheet audits
  • Support contract updates, SOP creation, and digital document control using tools like DocuSign
  • Ensure timely renewal of state-required documents and certifications for service providers
  • Assist with payroll-related processes including hours tracking and payroll report documentation
  • Schedule and manage DSP assignments, shifts, and attendance tracking
  • Support general office workflows and documentation needs as directed

Requirements

Education:

  • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field preferred (not required).

Experience:

    • 2+ years of HR or administrative support experience in a U.S.-based healthcare or service provider setting
    • Strong familiarity with U.S. HR processes including employment documentation (W-4, I-9), tax and payroll-related forms, and state compliance requirements
    • Experience managing digital employee files and supporting compliance audits or reviews
    • Working knowledge of Microsoft Office, Excel, Adobe Acrobat, Google Workspace, and payroll systems (e.g., ADP)
    • Experience with document management systems and e-signature platforms (e.g., DocuSign)
    • Excellent organizational and time management skills with the ability to prioritize multiple tasks remotely
    • Reliable, detail-oriented, and capable of maintaining confidentiality and professionalism in all communications
    • QuickBooks familiarity is a plus
