Description

The Client Services Operations Specialist is an execution-focused, detail-oriented problem-solver responsible for supporting the tools, reporting, and workflows used by our client-facing teams. This role works closely with the Manager of Client Services Operations to carry out key operational tasks, support day-to-day system administration, and bring structure to our growing operations.

It’s an ideal role for someone who enjoys making systems more efficient, learning through doing, and building strong partnerships with support, CSM, professional services, and CX teams.


Requirements

Responsibilities:

System Administration & Support

  • Configure and maintain user settings, workflows, and automations in Zendesk, ChurnZero, HubSpot, and Pendo.
  • Triage system issues and requests from client-facing teams, resolve or escalate as appropriate.
  • Maintain system documentation, permissioning, and change logs.

Reporting & Data Quality

  • Run recurring reports and ad hoc queries (SQL, Google Sheets, ChurnZero exports, etc.).
  • Assist with upkeep of dashboards and metrics — identifying data gaps or errors and proposing fixes.
  • Perform data hygiene tasks and ensure field usage is consistent with business logic.

Process Documentation & Optimization

  • Map and document operational processes in collaboration with client-facing teams.
  • Identify opportunities for improvement and suggest system or process changes.
  • Support project execution, testing, and rollout of new tools or workflows.

Cross-Team Collaboration

  • Participate in project workstreams and implementation tasks.


Skills/Education/Experience:  

  • 1–3 years of experience in SaaS operations, client services, data reporting, or systems administration.
  • Familiarity with client-facing tools like Zendesk, ChurnZero, HubSpot, or similar.
  • Comfortable with SQL (even basic), eager to grow deeper skills in Google Apps Script and low-code automation.
  • Process-minded and highly detail-oriented — you love when things are clean, documented, and consistent.
  • Naturally curious, resourceful, and always looking for a better way to get the work done.
