Role Description


The Healthcare Workforce Management Validation and Configuration Specialist plays a critical role in ensuring the successful implementation and optimization of workforce scheduling systems, such as QGenda, within healthcare environments. This role bridges clinical expertise with technical configuration, ensuring that scheduling solutions align with nursing workflows, operational goals, and compliance standards. The specialist collaborates closely with clinical leaders, nursing staff, and IT teams to validate requirements, configure scheduling systems, and support data integrity across large-scale implementations

Roles And Responsibilities

Requirements Validation:

  • Collaborate with healthcare clients to review and validate setup books and scheduling frameworks
  • Ensure task lists, shift types, and scheduling rules are accurate, complete, and aligned with clinical workflows
  • Partner with nursing and operational leaders to understand and incorporate unit-specific needs, including shift-based, rotating, and fixed schedules
  • Identify gaps, inefficiencies, or misalignments in proposed scheduling models and recommend improvements
  • Facilitate discovery sessions and validation workshops with clinical stakeholders to ensure system configurations support real-world nursing operations
  • Translate clinical and operational requirements into system-ready documentation for configuration teams

System Configuration And Data Management

  • Perform bulk updates and data imports within QGenda or similar workforce management platforms
  • Configure scheduling rules, shift templates, provider groups, and coverage patterns based on validated requirements
  • Maintain high accuracy and attention to detail when managing large-scale data inputs and updates
  • Follow detailed workflows and configuration protocols to ensure consistency and compliance with client standards
  • Conduct quality assurance checks to validate that configurations meet clinical and operational expectations
  • Troubleshoot configuration issues and collaborate with technical teams to resolve discrepancies

Clinical And Scheduling Expertise

  • Apply nursing and clinical knowledge to understand the nuances of inpatient, outpatient, and specialty department scheduling
  • Support departments with complex scheduling needs, such as 24/7 coverage, on-call rotations, and credential-based assignments
  • Ensure that scheduling configurations support safe staffing ratios, labor laws, and union agreements where applicable
  • Provide guidance on best practices for clinical scheduling, including time-off management, shift swaps, and overtime prevention

Required Skills And Qualifications

  • Clinical Background: RN, BSN, or equivalent clinical experience strongly preferred
  • Workforce Management Expertise: Experience with QGenda or similar scheduling platforms (e.g., Kronos, UKG, ShiftWizard)
  • Scheduling Knowledge: Deep understanding of healthcare scheduling models, including shift-based, set schedules, and rotating patterns
  • Analytical Thinking: Ability to identify inefficiencies and propose data-driven solutions
  • Technical Proficiency: Comfortable working within complex applications and performing bulk data operations
  • Communication Skills: Strong facilitation and interpersonal skills to engage with clinical and administrative stakeholders
  • Detail-Oriented: High level of accuracy in data handling and configuration tasks
  • Project Collaboration: Experience working in cross-functional teams, including IT, clinical operations, and HR
